The Marlene and Stewart Greenebaum Comprehensive Cancer Center (UMGCCC) in the University of Maryland, Baltimore (UMB) School of Medicine is seeking a Senior Program and Administrative Support Specialist (Senior Program Specialist).  Under general supervision, this position will report directly to the Director and Chair of the UMGCCC in supporting the programmatic goals of the UMGCCC and overseeing the day-to-day administrative operations. The Senior Program and Administrative Support Specialist provides executive administrative support to the UMGCCC Director, including independently handling inquiries and matters of significance, and developing content and dissemination strategies for speeches, presentations, articles, and web content.

Primary Duties

  • Oversee the day-to-day build and design of HSF3 laboratory and office space. Assist leadership by coordinating HSF3 administration/logistical support in concert with Shared Service director.
  • Oversee all UMB-based UMGCCC lab/office moves & renovations including the Clinical Research Office, administrative offices and faculty labs and offices including relocation of UMB staff into new Stoler Center for Advanced Medicine and UMB Grey Lab & East Hall.
  • Maintain PI/space/funding database for faculty assigned to UMGCCC controlled space – Bressler, HH, MSTF, East Hall, and Network locations. Maintain equipment inventory system.
  • Assist Senior Program Administrator with Clinical Research Office performance metrics.
  • Responsible for all aspects of the specific program, including day-to-day operations, project management, and contract compliance.
  • In collaboration with programmatic leadership, plan, develop, administer and coordinate new or revised goals and objectives for programs. Ensure that goals, objectives, and deliverables specified are accomplished in accordance with priorities, time and funding limitations, or other specifications.
  • Provide advanced administrative and research support to the programmatic leadership teams. Evaluate program effectiveness in order to develop and implement new or improved methods.
  • Perform specialized administrative functions, including research and data analyses, program coordination and monitoring, data collection, database creation, surveys, reports, and recommend program changes.
  • Monitor and maintain relationships with internal and external stakeholders (i.e. contractors, state agencies, legislature, and sponsors) to ensure compliance with work plan and deliverables.
  • Lead preparation of final program and financial reports for submission to management or outside agencies.
  • Develop and facilitate workshops, meetings, or conferences with high impact on program and/or participants. Coordinate logistics, scheduling, communications, and participation.
  • Coordinate program activities through delegation of assignments to staff.  May supervise and mentor other support staff.
  • Performs other duties as assigned.
 

Qualifications

  

Education:  Bachelor's degree.
Experience:  Three (3) years administrative or program coordination experience.
Supervisory Experience:  One (1) year in work coordination, training, and daily oversight of staff, students, or volunteers preferred.
Other:  Related experience to program may be substituted for education. Ability to prepare financial statements and budgets.

The Hiring Range for this position is in the mid $60,000s to mid $70,000s, commensurate with education and experience.
