Senior Program Coordinator - Office of Experiential Education-Physical Therapy

Position Summary:

The Senior Program Coordinator of Clinical Education works independently to manage and coordinate specific activities related to Physical Therapy clinical education and residency education.  In collaboration with the Director of Clinical Education and the Residency Program Director, the position coordinates and provides advance support of projects and manages the activities of the student clinical rotation experience, works closely with clinical site locations across the country for student placements, manages student compliance with clinical site onboarding, and maintains affiliation contracts with affiliated clinical sites. Additionally, this position works independently to coordinate specific projects and initiatives related to clinical and residency education.  This role will perform all other duties assigned by the supervisor or manager.

 

As the university moves toward developing a cross-functional approach to clinical education across the health sciences, consistency in clinical placement processes related to on-boarding, compliance, coordination of site agreements and student progression are being developed. The Senior Program Coordinator role will have the opportunity to collaboratively work within a team to address these critical components of the student experience.

 

Essential Functions:

·       Gather clinical site information and maintain in database, solicit, and verify clinical placement offers, schedule student clinical placements during match periods, verify and confirm clinical education placements and monitor student attendance at clinical education sites. Work with community partners to schedule professional service activities for students. Facilitate new contracts and maintain database of existing contracts between university and clinical education partners. Evaluate contracts and student records for determining students' compliance with contractual agreements, including on-boarding requirements from clinical sites. 

 

·       Maintain all records related to preceptor/clinical contract compliance (confidentiality forms, HIPAA forms, BLS/CPR certification, drug testing, background checks & fingerprinting, immunization compliance, liability insurance, annual compliance trainings, student handbook signature form, release of information form). Facilitate and monitor receipt of student evaluation materials and student assignments during clinical experiences. Correspond with agencies regarding student preceptorships/clinical experiences and forms needed by the preceptors and agencies.

 

·       Assist residency program by providing administrative support to residency director and team. Process continuing education requests and professional fund requests for residents. Monitor budgets and process expenditures and income for residency and clinical education budgets. Organize Credentialed Clinical Instructor Program and other continuing education programs for residencies and clinical education. Record minutes for meetings and retreats held by clinical education and residency programs. Distribute and maintain surveys related to clinical education/residency.

 

Education & Experience:

·       Associates Degree or equivalent experience required. 

·       Bachelor's Degree preferred. 

·       4-6 years related administrative/clerical experience preferred.

·       Ability to manage multiple assignments and tasks, prioritize, and adapt to changing priorities

·       Ability to analyze and interpret data

·       Ability to work independently

·       Ability to collaborate with others

·       Ability to tailor strong oral and written communications to a wide variety of stakeholders

·       Experience handling confidential duties professionally

·       Intermediate to advanced proficiency skills in Microsoft Office Suite to include Word, Excel, Power Point, and Outlook

·       Ability to learn and become proficient in use of numerous industry- and profession-specific software programs

·       Excellent verbal and written communication skills and attention to detail required.

·       Must be able to manage multiple projects/tasks simultaneously with little direction.
