Scope of Position  

Coordinates outreach and referring provider relationship activities for the Medical Center within an assigned territory.  Develops and manages collaborative relationships with senior medical, clinical, and administrative leadership of regional hospitals.  Represents the opportunities and interests of regional medical communities in Medical Center strategic planning and administrative meetings.  Serves as a liaison between referring providers, community hospitals, health systems and the Medical Center to enhance communications and ensure that customer expectations are met in a timely fashion. 

Position Summary

The Senior Regional Outreach Coordinator develops long-term professional relationships and markets Medical Center programs, providers and services to medical communities within an assigned territory.   Initiates and develops collaborations with regional hospitals and Medical Center programs designed to expand the clinical portfolio of the regional hospital; including, but not limited, to clinical, administrative and educational programming, program oversight, co-marketing, and co-branding.  Actively participates in internal planning meetings and performs on-the-ground market assessments.

Duties and Responsibilities

10% of Time

Participates in the development and implementation of the Medical Center Outreach Strategy.

  • Collaborates with Planning and Business Development to analyze data regarding trends in the primary, secondary, and tertiary marketplace for the purpose of improving the Medical Center’s ability to be the preferred partner of regional medical communities for patient care, research, and education.  Presents informed recommendations to senior leadership regarding current and future outreach strategy
  • Develops qualitative information regarding an assigned territory to improve the Medical Center’s execution of its outreach strategy.  Presents informed recommendations to senior leadership
  • Collaborates with Outreach and Engagement leadership to identify key strategic business service opportunities as it relates to providers, services, and virtual health opportunities within targeted medical communities
  • Provides critical feedback regarding the performance of Medical Center programs and services in meeting the needs of regional customers

15% of Time

Actively participates in the ongoing development and maintenance of an activity reporting system designed to consistently inform departmental leadership of outreach activity and progress on targeted initiatives.

  • Inputs all activity into contact management system prior to the end of each business week
  • Utilizes contact management system to coordinate and drive pre-call planning visits
  • Creates and develops monthly, quarterly, and annual reports that track contacts, visits, outreach activity, progress on strategic initiatives, and measures the continuous trends of business activity from referring entities
  • Participates in the continued development of the Central Physician Directory, by communicating and updating referring physician and provider data on an ongoing basis
  • Prepares special activity reports and market analysis as requested

75% of Time

Provides ongoing customer service to targeted physicians, physician practices, hospitals, health systems, and community organizations.  Activity targets are established by annual and quarterly plans.

  • Creates and manages long-term collaborative relationships between regional hospitals and the Medical Center
  • Coordinates and facilitates business strategy meetings with key senior leadership stakeholders on behalf of the regional hospital and the Medical Center
  • Serves as the lead contact to guide ongoing project and business development with regional hospital in assigned territory
  • Promotes the full-range of services offered by the Medical Center with special emphasis on Areas of Concentration
  • Facilitates regional clinical speaking engagements for faculty and staff
  • Coordinates and facilitates continuing medical educational programs
  • Assists with the identification, development, and implementation of new products and services to enhance and support the Department of Outreach and Engagement
  • Collaborates with the Communications and Marketing team to develop an online presence and collateral materials that aid in the support and promotion of key programs and services
  • Serves as the territory’s primary contact for OSU DocLink to increase and enhance referring providers appropriate, secure and timely access to their patient’s electronic records
  • Facilitates and participates in health fairs and other educational/promotional events on behalf of the Medical Center
  • Serves as the primary contact for referring providers and responds to service issues in a timely, professional manner

Practices within the Medical Center’s policies and procedures.  Adheres to Medical Center Values through positive referring professional relations, positive and effective interactions with staff, and formulating and meeting developmental goals.  Represents the institution in professional/civic activities at the local, state and national level.  Actively supports all three mission areas of the Medical Center in all interactions both internal and external.

Minimum Qualifications

For Hire:              Undergraduate degree in Marketing, Health Education, Nursing, Health Services Administration or related field.  Graduate degree preferred or an equivalent combination of education and experience.  Evidence of progressively responsible experience in healthcare and proven ability to build consensus, listen and manage customer issues, and work with complex groups and systems is desired.  A minimum of 5 years experience in a parallel role. 

  

Ongoing:              Remains current on WMC programs and services.  Stays current on regional market developments.   Knowledge of PC software applications such as spreadsheets, databases and word processing.  Develops and improves collaboration, innovation, sales, and listening skills through continuing education opportunities.
