The Office of Sponsored Projects (OSP) serves as the coordinating office for externally funded research and sponsored projects at The University of Texas at Austin. The mission of OSP is to assist faculty and professional research staff in their efforts to secure and ensure proper stewardship of external funding. We do that by assisting research faculty and staff with the following: proposal review, authorization, and submission; award negotiations and acceptance; account management; close-out, reports, audits, collection; professional development and education; export control, and research compliance.

PURPOSE:

Responsible for the management of a team of billing and reporting staff over a varying grant portfolio. Works with OSP leadership in developing procedures and processes that benefit the UT research community. Coordinate and support own billing/reporting portfolio.


RESPONSABILITIES:

  • Leads and oversees grant billing and reporting that contains a portfolio of federal, state, and private awards while ensuring compliance with the terms and conditions outlined in the contract. Sets and enforces standards for billing procedures to maintain accuracy and consistency across the team's activities. Monitors the workloads of grant accountants, providing guidance and support to ensure efficient and effective workflow. Manages workloads effectively, ensuring a balance that maximizes productivity while maintaining employee well-being. Facilitates open communication within the team, encouraging feedback and collaboration.

  • Manages a portfolio of high-risk projects and/or tasks with complex requirements, demonstrating a strong analytical approach to financial data and historical records. Monitors accounts receivable balances using internal financial tracking tools. Conducts in-depth research into account discrepancies, employing a thorough analysis of financial records, invoicing, and reporting to reconcile unbalanced accounts. Monitors Post-Award activities to ensure compliance for issues involving allowable costs, cost transfers, budget adjustments, and reporting requirements. Provides adequate detail and assistance to customers, internal and external, on issues to find timely solutions.

  • Recruits, trains, and manages a team, ensuring they have the necessary skills and knowledge to fulfill their roles effectively. Establish and enforce guidelines and procedures to enhance billing and reporting processes. Finds opportunities for continual training and mentorship over the team. Promotes a positive team culture. Conducts performance evaluations and supports career development plans for team members. Works closely with the manager to align training initiatives with broader organizational goals.

  • Collaborates with leadership across teams to identify and implement process improvements that align with the needs of both internal and external customers. Communicates effectively and professionally with internal and external customers in the research community. Ability to cultivate and maintain professional working relationships. Assists staff with communications to internal and external customers.

  • Reviews terms and conditions of new awards and any award modifications to outline billing terms and financial deliverable tracking. Aids internal customers and interpret award documents, sponsor regulations, federal/state compliance, and any other research related rules with each new award and modification.

REQUIRED QUALIFICATIONS:

  • Bachelor's degree in Accounting, Finance, or a related field, along with a minimum of three years of experience in sponsored research billing and reporting.

  • At least five years of progressively responsible experience in budgeting, accounting, reporting, and supervising.

  • Proficiency in Excel and familiarity with various software applications. Strong interpersonal communication and problem-solving skills, as well as flexibility and attention to detail.

  • Excel in both verbal and written communication.

  • Manage deadlines and effectively utilize software applications, online resources, and electronic files.

  • Experience in recruiting, managing, training, and evaluating staff, as well as developing performance evaluation methods and employee improvement programs.Adept at establishing guidelines, standards, and priorities, and managing unit work content to ensure positive outcomes.

  • Capable of planning, implementing, and monitoring compliance with policies and procedures, as well as setting short and long-range goals and projects.

  • Authorization to work in the United States on a full-time basis for any employer is a requirement for this position. 

Relevant education and experience may be substituted as appropriate.

PREFERRED QUALIFICATIONS:

  • Master’s Degree in Accounting, Finance, or a related field, complemented by extensive experience exceeding the required five years in budgeting, accounting, and reporting within a university environment. Demonstrate advanced proficiency in gathering, analyzing, and presenting financial data.

  • Expertise with the UT *DEFINE experience. Specialized experience of over three years in governmental or sponsored research accounting.

  • Experienced with CPRIT, TXDOT, TCEQ, and other Texas state sponsors.

  • Clinical trial invoicing Multiple years supervisor experience.

  • Excel in multitasking, consistently meeting stringent deadlines, while maintaining a strong customer-centric approach, and exhibiting exceptional organizational and communication skills in both written and oral formats. 

Salary Range

$75,000 + depending on qualifications.
