Job Summary 

The Senior Manager, Advancement Continuity & Training will work with and report to the Senior Director, Advancement Continuity & Training at Dallas College in the Office of Advancement & Development to support grant monitoring, process improvement, and internal/external training. The Senior Manager, Advancement Continuity & Training will work with faculty, staff, and internal leadership across academic, operational, and workforce units to improve internal controls, related business operations/functionality, and staff development at Dallas College.   

Required Knowledge, Skills, and Abilities 

  • Strong ability to provide guidance and resources for grant monitoring, cross-divisional process improvement and training.

  • Able to effectively address overlapping projects and deadlines.

  • Excellent organizational skill and must be able to prioritize responsibilities and handle multiple tasks relating to concurrent projects.

  • Proven project management experience as well as strategic planning, writing, and editing skills.

  • Ability to research, analyze, and interpret data and prepare relevant reports, statements and/or projections for department goals and/or proposal development.

  • Ability to be flexible depending on the needs of the division, and/or other stakeholders.

  • Ability to prioritize competing priorities and manage multiple tasks of various projects involving both internal and external stakeholders.

  • Ability to solve problems and think independently and critically.

  • Meticulous attention to detail, including organization, editing skills, diligence, and time management.

  • Ability to employ self-agency, personal accountability, and sound judgment.

  • Demonstrated skill level in the use of personal computers and related software applications.

  • Establish and maintain working relationships with a multicultural district-wide network and external constituents to ensure deadlines are met.

  • Ability to read, analyze and interpret federal regulations and pending revisions, the Federal Acquisition Regulations, Code of Federal Regulations, cost accounting standards, Texas laws, and Dallas College policies and reporting requirements to ensure continued compliance.

  • Ability to provide technical advice and information to faculty and staff in area of expertise. Must be able to interpret complex regulations and requirements.

Minimum Qualifications 

  • Bachelor’s degree plus 2-4 years of experience in project management, training development, and/or process improvement, grant compliance preferred not required, or Associate’s degree plus 5 or more years of experience in project management, training development, and process improvement, grant compliance preferred not required

  • Official transcripts will be required.   

  • Completes required Dallas College Professional Development training hours per academic year.

Key Responsibilities 

  • Training Organization, Development & Delivery (estimated 60% of effort)

    • Lead the creation and implementation of a comprehensive annual training calendar for the Office of Advancement and Development, encompassing grant training, staff development, community engagement, grant sustainability, monitoring, internal controls, etc.

    • Conduct a needs assessment to identify training gaps and employee development needs across all departments within the Office.

    • Analyze data and metrics to inform the development of a robust data-driven training strategy that addresses identified needs and aligns with strategic objectives.

    • Collaborate with team leaders, staff, and departmental leadership across Dallas College to design and develop engaging and effective training programs. This includes:

      • Identifying learning objectives and desired outcomes.

      • Selecting appropriate training methods and delivery formats (e.g., in-person workshops, online modules, blended learning).

      • Creating training materials, including curricula, presentations, and handouts.

    • Serve as the office expert on all Workday Learning protocols, assisting staff with training enrollment and series development.

    • Partner with the Administrative Support Team to ensure smooth and efficient training delivery. This includes:

      • Coordinating training space reservations and equipment needs.

      • Preparing training materials and participant handouts.

      • Scheduling training sessions and managing participant registration.

      • Arranging catering for refreshments and breaks.

      • Setting up audio-visual equipment and ensuring proper functionality.

    • Co-facilitate training sessions where applicable and appropriate, utilizing adult learning principles and fostering a positive learning environment.

    • Develop and implement evaluation mechanisms to assess the effectiveness of training programs and their impact on staff knowledge, skills, and performance.

    • Analyze training data and feedback to identify areas for improvement and inform future training development.

    • Assists the Senior Director as needed.

    • Other duties as assigned.

  • Grant Monitoring (estimated 20% effort):

    • Support the development of grant monitoring activities as assigned by the Sr. Director and Director

    • Lead in organization of onsite and virtual reviews, risk assessment, data analysis, data collection, communications, and reporting

    • Review funding agency guidelines and identify key requirements.

    • Engage with various groups or committees across organizational units and campus locations that participate in monitoring reviews.

    • Create and maintain a system to track internal/external audit and program results and corrective actions.

    • Maintain copies (hard-copy and electronic) of necessary documentation for all grant monitoring reviews accordingly to ensure compliance with funding agency record retention requirements.

    • Assists the Senior Director and Director as needed and other duties as assigned.

  • Process Improvement Support (estimated 20% of effort):

    • Support the development of an internal process review system to reduce burden, avoid duplication/overlap, streamline/simplify, and enhance digital solutions.

    • Conduct preliminary research and/or synthesize provided data points related to divisional processes and best practices; submit findings to department leadership.

    • Develop and update Advancement & Development process map development tracking, analysis, and reporting system.

    • Maintain and submit updates for the Advancement and Development team SharePoint site, Website, Teams folders, P drive and Q drive, etc.

    • Partners with Admin Support Team to submit Marketing, IT, Facilities, HR, and other operational unit requests.

    • Assists the Senior Director and Director as needed and other duties as assigned.
