Senior Financial Manager - Dietrich College, Dean's Office

We are seeking a Senior Financial Manager to join our finance team! This position will report to the Assistant Dean of Financial Operations, and will manage and direct financial and administrative functions for the Dietrich College Dean’s Office and affiliated units.

Your core responsibilities include:

  • Approve the Expense Reports and Pcard transactions for the Dean, the other Cabinet members, the department heads, and business managers.   Approve Payroll Distribution Adjustments for college business managers and other staff.
  • In collaboration with other Dean’s office staff, serves as a resource and advisor on matters of policy, administrative and financial matters.
  • Analyze and interpret financial data, comparing actual financial performance to forecasts.  Prepare financial reports for the Dean and Cabinet members.  Update the Assistant Dean of Financial Operations on changes in operations for the budget and forecast. Approve financial expenditures, such as expense reports, procurement card purchases, purchase orders, etc. and ensure correct charging and processing of transactions. Oversee the contract process for guest speakers, other vendors, and events. Initiate and review charging of all labor to correct account strings.
  • In collaboration with the dean and other relevant leadership, develop and implement the administrative processes for new programs and initiatives including recommendations for program/initiative oversight, budget, and staffingPeriodically review long-term, existing programs and make recommendations for policy, procedural, and budgetary changes when necessary.
  • Prepare annual Endowment Impact Report on the Dean’s Office endowed accounts for University Advancement (UA). Researches and responds to UA on periodic queries throughout the year on endowed and expendable gift accounts. Works with Gift Accounting to ensure that gifts are coded correctly, and that appropriate documentation is included.
  • In collaboration with the assistant dean of administrative operations and other Dean’s office staff, approves Workday transactions for staff and students.  Initiate activity pays, one-time payments and award payments for processing in Workday.
  • In collaboration with the assistant dean of financial operations, serves as the departmental resource for financial transactions and first point of contact for administrative problem resolution. Advises dean and other Dean’s Office leadership and staff on financial compliance with university guidelines and procedures. Provides and may draft guidelines and policies for the Dean’s Office as needed. 
  • Initiate summer salaries and discretionary fund transfers
  • In collaboration with the assistant dean of administrative operations and other Dean’s office staff, supports the initiation of offer letters in fall, spring, and summer for adjunct special faculty in the Dean’s Office, Pre-law program, and Community Engagement.
  • Work with associate dean on the Summer Honors program. Consult with new students in the program each summer to review program guidelines related to their scholarship funding and research support.
  • In collaboration with other Dean’s office staff, assists with onboarding of new business managers in the college when needed.
  • Build strong partnerships with colleagues both within Dietrich and in central administrative units, as well as other academic colleges having affiliations with Dean’s Office research centers.

Qualifications:

  • Bachelor’s Degree in Accounting, Finance, Business, or related field required, Master’s Degree preferred.
  • 3-5 years Business Administration experience, financial planning experience, financial analysis/account experience.
  • Prior experience in higher education, financial management experience, are preferred.
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.
