Job-Specific Responsibilities


Reporting to the Associate Director of Finance and Research Administration, specific responsibilities of the Finance Manager include: financial management for review and approval of local policies and procedures for interim and year-end fiscal processes, and external and internal audits. Serve as the liaison within and between the School/ Unit and the University to provide comprehensive financial analysis and budget management. 

This position will independently perform day-to-day financials of a portfolio of centers, initiatives, and units administratively supported by the Science Division's Operations team.

  • Develop, forecast, and administer complex budgets for a varied portfolio of divisional units. Verify budgets, identify, analyze, and resolve discrepancies. Prepare journal transfers as needed.
  • Serve as the financial approver for portfolio's P-card purchases, Corporate Card purchases, HCOM purchases, out-of-pocket reimbursements, etc.
  • Perform financial analysis and modeling to forecast, revenue, expenses, and income from a variety of funds including endowments, gifts. Develop and design ad-hoc financial reports for PIs, Faculty Directors, Dean's Office, Executive Committees, Development, etc. to inform management decisions.
  • Provide financial administration for the John Harvard Distinguished Science Fellows Program and Research Computing.
  • Work closely with the Associate Director of Finance and Research Administration and provide recommendations in the development of consistent and compliant financial policies and workflows to streamline the office's practices and allow for top-notch support to a large and varied portfolio of divisional units. 

Typical Core Duties

  • Perform financial operations that may include payroll, accounting, accounts payable/receivable, procurement, research administration etc.
  • Develop, forecast, and administer complex budgets
  • Verify budgets, identify, analyze and resolve discrepancies
  • Perform financial analysis and modeling to forecast revenue, expenses, and income
  • Develop and design financial reports for management
  • Provide technical advice and problem resolution for a school/unit financial community on financial administration
  • May provide training to clients and staff
  • Provide management with recommendations in the development of financial policies
  • Ensure financial compliance with University policies and procedures and applicable legal rules and regulations

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 5 years’ relevant work experience

Additional Qualifications and Skills

  • Demonstrated experience with pre- and post-award administration.
  • Demonstrated experience working in a complex academic environment.
  • Knowledge of financial administration systems and data query tools - particularly those used at Harvard including OBI, Oracle Financials, GMAS, PeopleSoft, etc.
  • Demonstrated advanced Excel skills and ability to design complex spreadsheets and pivot tables utilizing advanced formulas, macros, v-look ups, conditional formatting, etc.
  • Strong working knowledge of Microsoft Office Suite and Office 365 Collaboration Tools (Groups, Teams, SharePoint).
  • Excellent written and verbal communication skill.
  • Strong collaborative working style with excellent consultative, problem-solving, and customer service skills.
  • Must have ability to build strong relationships with people at all levels of the organization and communicate technical financial information/policy/procedure to a broad range of audiences.
  • Personal maturity and ability to work with and maintain confidential information are essential.
