Job Description

The Senior Event Planning Coordinator assists in the successful planning and execution of events held within Student Life event spaces and across campus. This position collaborates closely with the Assistant Director, Campus Events on special projects, committee work, and strategic initiatives while partnering with internal support teams, including Reservations and Scheduling, University Catering, Audiovisual Services, Facilities Operations, Sponsorship, and other campus stakeholders to provide exceptional event experiences.

The Senior Event Planning Coordinator primarily provides event coordination and management services to clients, focusing on supporting client needs from concept through execution. This role is responsible for working directly with clients to gather event information and communicate to internal and external partners. The position works closely with key event stakeholders including Catering, Audiovisual Services, Facilities Operations, Environmental Services, Risk and Emergency Management, BuckID, Transportation and Parking, Hotels and Lodging, Sponsorship, and Operations teams to plan, coordinate, and manage events within and beyond Student Life event spaces.

The Senior Event Planning Coordinator coordinates food and beverage services, catering, and other specialized requirements for all assigned events. This role serves as the primary point of contact for client needs before, during, and after events; proactively collaborates with scheduling and event staff to identify upcoming event support needs. Availability to work early mornings, evenings and weekends is required.

The Senior Event Planning Coordinator is responsible for delivering experienced event management services for complex events such as conferences, trade shows, vendor fairs, cultural shows, performance acts, multi-venue events across campus, weddings, and other celebrations. This role also supports the planning and execution of campus activations and sponsorship-related experiences by partnering with the Sponsorship team and other university stakeholders.

The Senior Event Planning Coordinator may assist in representing the Events and Conferences team at conferences, trade shows, and other promotional opportunities. This position may also be responsible for management and training of student employees and full-time staff as needed.

Minimum Education Requirement:

Bachelor's Level Degree or equivalent combination of education and experience.                                                                                                                                                             

Qualifications:

Required: Bachelor’s degree in a related field or equivalent combination of education and experience; at least 4 years of full-time event planning experience; supervisory experience; attention to detail, follow through skills and strong communication; flexibility in schedule, including evening and weekend work in conjunction with scheduled events.

Desired: 4-8 years of full-time event industry experience; 2-3 years of experience with food and beverage or catering services; 2-4 years event planning and/or production experience in a university setting; 2-4 years of experience using event management and room diagramming software; 2-4 years of experience servicing and/or selling to clients in a university setting; high volume food and beverage or catering experience; excellent rapport with clients; working knowledge of audiovisual equipment.


Additional Information:

Compensation

The pay range for this position is $44,400 - $58,000 and the offer will be based on internal equity, unit's available budget, and the candidate's qualifications.
