Senior Enrollment Specialist in the Office of the Registrar and Admissions

Position Summary:

UTHealth Houston is looking for a Senior Enrollment Specialist to work with our Registrar's office. This employee interacts with applicants, students, alumni, faculty, staff, Student Affairs Offices, and Academic Affairs on all activities pertaining to the processing of VA and military benefits, applications for admissions to UTHealth's academic degree programs, and student registration. This person will be primarily responsible for assisting with the processing of VA, Hazelwood, and Military students but floats as needed within the office based on admission and registration cycles. Works with all office staff to ensure the achievement of the Registrar's Mission Statement.

This is an on-site role, at least during training. There may be flexibility once the tasks are mastered by the employee. But your office will be in the Texas Medical Center at our University Center Tower. This role is eligible for all benefits from UTHealth Houston. It is a full-time position which is classified as non-exempt.

Position Key Accountabilities:


1. Respond to non-routine correspondence or telephone contacts to every person who reaches out to the Registrar's Office within guidelines established by the supervisor. 

2. Handles basic to moderately complex inquiries and receives and directs visitors.

3. Assists the Senior VA Coordinator in all tasks for processing students using GI Bill and Hazlewood benefits.

4. Performs data entry and data maintenance of support information for VA and Hazlewood students, program applicants, students, and alumni in the PeopleSoft Campus Solutions database.

5. Compiles data from reports using required knowledge of departmental, project, and/or university policies and procedures.

6. Provides accurate and timely application and registration information to the university community.

7. May be responsible for the daily processing of certification of enrollment and/or verifications manual and online.

8. Admissions documents may be processed, and the receipt of transcripts and degrees (as noted on the application) for entering students can be verified using the Optical Character Reader (OCR) technology.

9. Assists with grade posting and changes as needed.

10. Processes class updates and schedule changes as requested.

11. Maintains official student records via the document management system.

12. Assists in the graduation process, including but not limited to processing and tracking degree applications, name changes, correspondence with students in reference to degree audit, and proofreading diplomas as assigned.

13. May make recommendations to the Registrar or Associate Registrars regarding business process improvements, policies, and processes to stay up to date with enrollment and registration best practices.

14. May assist Associate Registrar with system setup for course registration.

15. Assists academic admissions staff during peak admissions cycles.

16. Collaborates with others outside of the Registrar's Office to ensure timely completion of tasks needed to allow the admissions committee to review an applicant's file.

17. Ability to handle confidential information and sensitive issues.

18. Assist the Registrar with scheduling meetings as needed.

19. Performs other duties as assigned.


Minimum Education:

High School Diploma or equivalent.

Minimum Experience:

Three (3) years of registrar and/or admissions experience or related areas such as administrative roles.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

Security Sensitive:

This job class may contain positions that are security sensitive and thereby subject to the provisions of Texas Education Code § 51.215

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
