This position is eligible for a hybrid Flexible Work Arrangement (FWA) (on-campus and remote work). FWA arrangements are subject to manager approval and may shift due to changes in business needs.  The remote location must have a reliable internet connection to support working remotely. Purpose

Under limited supervision, works closely with academic units to schedule classes and/or course-related programming, including updates and cancellations by coordinating data entry and proofing schedules using automated scheduling and registration systems. Ensures appropriate classroom facilities are available. Keeps departments apprised of changes in policies and deadlines within required notification period. Problem solve and troubleshoot escalated issues or complex issues to resolution. Review requested changes with departments. Coordinate and monitor departmental compliance with various reporting structures, including but not limited to, course instructor surveys and final exam reporting. Prepare reports to advise space planning, the configuration of classes for student allocation and the provision of room booking as well as other related reports. May assist with the development and implementation of policies and procedures to improve work processes and tasks.


Responsibilities

  • Course Scheduling and Management: Oversee scheduling courses for the department, including Individual Instruction courses. Work with faculty leadership to resolve disputes and improve course scheduling. Implement college and departmental teaching loads and enrollment requirements. Oversee course inventory management, including updating Faculty and Student Electronic Tracking System (FaSET).

  • Serve as the administrator of Course Instructor Surveys (CIS). Manage grade reporting, input, and changes for all courses including for Independent Study courses, and Course Flags. Collect course syllabi and faculty CV's each semester and upload them to the UT Registrar site for public viewing. Process Authorization to Teach Graduate Course forms and exam waivers (if applicable).

  • Coordinate yearly Graduate Site Visit including establishing budget and reporting on expenditures, venue and catering contracts, group travel authorizations and arrangements, arranging agenda and logistics.

  • Serve as department liaison for student funding requests for academic-related competition and conference travel.  Collaborate with Engineering Student Services on student org funding and associated travel arrangements. (10%)

Required Qualifications

  • Bachelor's degree and three years of relevant administrative experience.

  • Demonstrated ability to multitask, work under pressure, meet deadlines, and work well as a team member.

  • Demonstrated ability to work with accuracy and attention to detail and follow instructions without close supervision.

  • Goal-driven, self-directed and creative with excellent problem-solving, interpersonal, verbal and written skills.

  • Professional demeanor.

  • Regular and punctual attendance.

  • Excellent written and oral communication skills.

  • Solid knowledge of office productivity tools (Microsoft Office).

Relevant education and experience may be substituted as appropriate.


Preferred Qualifications

  • Experience in higher education, particularly in a STEM environment or with a significant research operation.

  • Experience in administrative support functions in a large unit in a faculty-facing position.


Salary Range

$52,000+ depending on qualifications

  • May work around standard office conditions.

  • Use of manual dexterity.


Work Shift

  • Standard work schedule is Monday – Friday, 8:00 a.m. – 5:00 p.m. 

  • Flexible schedule and/or hybrid telework may be allowed. 

  • Periodic work outside of normal business hours, to include evenings and weekends, may be required on a periodic basis or for special events.
