Qualifications
  • 5–7 years of administrative support experience
  • Excellent written and oral communication skills, detail-oriented, highly organized, able to balance priorities, takes initiative, reliable and resourceful
  • Ability to work well in a multi-ethnic and multi-cultural environment with students, faculty and staff
  • Ability to handle a fast-paced office and multiple projects
  • Customer service-focused individual with excellent interpersonal, written and oral communication skills to work effectively with students, faculty and staff
  • Strong computer skills with a proficiency in MS Office Suite
  • A commitment to diversity, and the ability to establish and maintain effective working relationships within ArtCenter’s diverse communities
  • Ability to handle all information with tact and discretion and recognizes the confidential nature of ArtCenter business

 Preferred Qualifications
  • Bachelor’s degree from an accredited college or institution
  • Knowledge of art and design education
  • Prior experience in higher education

Essential Functions

Administrative support — 60%

  • Provide administrative and clerical support to the department including processing of incoming mail and delivered packages, photocopying, filing and communicating messages, purchase
  • Maintain and keep calendar for Department Chair and Faculty Director of special projects, schedule departmental meetings, write and distribute correspondence with faculty and students, assist faculty with room reservations, equipment needs for classes
  • Serve as primary administrative support for Chair and Associate Chair — answer questions, coordinate resources (rooms, parking, scheduling Chair appointments)
  • Maintain working relationships and insured compliance and cooperation with all other internal departments
  • Schedule and coordinate Chair, faculty and guest departmental related travel, calendar events, special events and field trips, including AV, transportation, collateral printing and communications
  • Working with internal partners, assist with on-campus initiatives, alumni, recruiting, admissions and graduation events, daytime and evening events as well as occasional weekend events
  • Coordinate and track all department purchasing and expenses, process purchase orders and check requisitions, wire transfers, faculty payment forms, food service forms, etc.
  • Process student stipends; oversee project deliverables
  • Represent the department at all internal “A Team” staff meetings each term
  • In Director’s absence, work with appropriate faculty to carry on essential functions; direct requests and action items to the appropriate individuals within the department, internal departments and offices of the College
  • Assist in the administration and coordination of special departmental projects and initiatives, as assigned, including setting and meeting deadlines; creating work plans and status progress reports
  • In conjunction with faculty manage all exhibitions and gallery shows, on- and off-campus, including planning, shipping and communication with student, faculty and chair on exhibition strategies, space distribution, signage and production
  • Provide oversight, guidance and day-to-day instructions to the Coordinator or administrative assistant to ensure overall efficiency of the department

Academic Advising and Support — 35%

  • Coordinate arrangements for Scholarship Review —update deliverables, schedule rooms, order food, collate and record scores, score distribution to students, compile GPA and Financial Aid reports
  • Light advising including degree audit overview and signing student forms
  • Manage Student and Faculty email correspondence for events, scholarships, department news, study abroad program inquiries, etc.
  • Organize Advisement Fair logistics each term including schedule for faculty advising team, class posters, updated track sheets, CSAR reports etc.
  • Implement Grad show Wall Map planning and design with Chair and departmental PDL faculty
  • Provide student advising for specialized areas the product design departments like soft goods and wearables, UX/UI, CMF, etc.

Non-Essential Duties— 5%

  • Serve on college-wide committees
  • Other duties as assigned

This is a full-time position with a schedule of Monday through Friday, 8:30 to 4:30 p.m. The position is eligible for flexible scheduling and can be performed, remotely, hybrid or combination or required as a condition of employment. 

Environment: Work is performed primarily in a standard office setting with frequent interruptions and distractions; extended periods of time viewing computer monitor; interactions with other individuals. Due to the nature of the work environment, there is regular exposure to fumes, dust and noise.

Physical: Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight (up to 20 pounds); to operate modern office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.

Vision: Must be able to have the visual capacity to perform activities such as preparing and reading reports, viewing a computer terminal and other normal office work with or without correction.

Hearing: Must be able to communicate effectively in the course of normal office communication or exchange ideas with or without correction.
