Summary
The Senior Coordinator, Gift Operations position requires solid knowledge of gift processing and IRS guidelines, a comprehensive understanding of fundraising initiatives, and data analytics. This position will ensure accurate and timely compliance with established policies for recording contributions to Baylor College of Medicine.
The internal title is Senior Coordinator, Accounting; the working title is Senior Coordinator, Gift Operations.

Job Duties
- Ensures operational effectiveness of Revenue Operations and manages workflow to ensure accurate handling and recording of all contributions.
- Accurately records all gifts and ensures donors are acknowledged accurately and timely.
- Serves as liaison with accounting, treasury and finance to ensure proper recording of all contributions.
- Implements and maintains cutting edge technology to ensure revenue operations remain efficient and effective.
- Creates standards, processes and procedures to ensure data integrity and makes using the database as efficient as possible.
- Monitors and adjusts the daily workflow to ensure that staff resources are adapted to meet the every changing demand in volume of contributions.
- Continuously engages the Revenue Operations team in opportunities for cross-training and learning so that all members of the team are adequately equipped to handle donations received from all revenue streams.
- Supervises the processing of more complex transactions, including stock transactions, matching gift transactions, in-kind gifts, oil and gas royalty payments, and payroll deductions.
- Accurately records all gifts and ensures donors are acknowledged accurately and timely.
- Prepares standard donor acknowledgments and receipts of all deposits within 48 hours of receipt of gift.
- Assists with monthly finance reconciliation procedures.
- Assists with accounting procedures, including batch reconciliation, record keeping, and year-end reports.
- Acts as a resource for financial questions. This includes (but is not limited to) fund balance inquiries, establishing new restricted and endowment funds, LOA information, and outstanding pledge balances.
- Troubleshoots and responds to inquiries regarding restricted funds, pledges and recurring gifts.
- Provides financial reporting used by Finance and Executive Leadership.
Minimum Qualifications
- High School diploma or GED.
- Four years of relevant experience.
Preferred Qualifications
- Bachelor’s degree
- Three years of nonprofit fundraising experience
- Three years of experience with complex database system, preferably Blackbaud system
- Experience with Microsoft Office Suite, especially Excel
- Experience in Philanthropic Gift Operations.
