Summary

Baylor College of Medicine is seeking a qualified and highly motivated candidate to provide executive-level support for the Director of the Therapeutic Innovation Center (THINC). Duties include supporting the Center Director and serving as a member of the department administration and operations team.


Job Duties
  • Coordinates and supports the daily business and financial processes of the Center Director’s Office.
  • Prepares memos, general correspondence, and PowerPoint presentations on behalf of the Center Director’s Office.
  • Serves as the Center liaison for faculty recruitment including position submission, obtaining approvals, drafting Faculty Employment Agreements (FEA), amendments, pre-hire steps, and onboarding.
  • Serves as Center Liaison for special guests and stakeholders from biotech, pharma, and venture capital.
  • May process personnel related transactions in SuccessFactors. Creates Sponsored Guest Accounts (SGA).
  • May assist with credentialing and onboarding staff and team members of Director’s Office and Laboratory.
  • Assists with travel logistics for conferences through Concur and coordinates reimbursement and reconciliation.
  • Coordinates department meetings, events, retreats, and other functions.
  • Schedules interviews on behalf of the executive team.
  • May assist with formatting manuscripts, grant applications, website updates, and social media.
  • Assists departmental leadership with special projects.
  • May review expenditures from fund sources to verify accuracy, need, and compliance.
  • May provide additional support to department leadership as needed.

Minimum Qualifications
  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications
  • Bachelors Degree preferred.
  • Executive support experience at BCM preferred.
  • Strong technical skills in SuccessFactors, Microsoft word, Excel, and PowerPoint.
  • Ability to display a professional, positive attitude with strong interpersonal and communication skills required.
  • Must be able to work both independently and collaboratively to meet deadlines.
  • Detail-oriented, self-motivated, and efficient with strong organizational skills.
  • Demonstrates a high degree of flexibility in accepting work assignments with the ability to effectively prioritize, multi-task, understand processes, and resolve issues.
  • Four years of relevant experience as an administrative assistant in a higher education academic, start up or corporate setting supporting upper management or C-suite executives.
