Summary

The Tropical Medicine Department is seeking a Business Operations Senior Coordinator who will support the department with all duties specified in the job description. The Department of Tropical Medicine has a strong, team based environment where the team works seamlessly together to meet overall departmental goals.  
 


Job Duties
  • Perform and oversee the daily operation of the Tropical Medicine department, primarily in the areas of human resources, compliance and financial management.
  • Establish staffing plans, schedules and productivity guidelines according to budget availability and the Tropical Medicine department needs.
  • Ensure the ongoing review and development of process improvements to maximize business productivity.
  • Manage the human resources activities for the Tropical Medicine department, including hiring, terminations, salary, and disciplinary actions.
  • Formulate policies and guidelines for the Tropical Medicine department activities.
  • Review and approve all statements of accounts, payroll, human resources, and invoice actions.
  • Develop, manage, and control budgets and a variety of financial data. Establish financial and operational systems to monitor, control, and verify expenditures and carry out financial analyses.
  • Assist with or manage pre-award and/or post award related tasks in support of the Tropical Medicine department faculty members.
  • Compile reports and information needed to complete annual progress reports, no-cost extensions, renewals, resubmissions, and new grants.
  • Set up new accounts, extensions, and pending accounts.
  • Set up new subawards and renewals in BRAIN.
  • Assist with the monthly tracking of grant spending per account.
  • Enter required information into BRAIN.
  • Establish POs, enter JVs.
  • Assist with pre-award functions.
  • Work with Grants and Contract and Sponsored Programs Office regarding pre and post award issues.
  • Assist with managing the day to day business operations of the Tropical Medicine department by performing human resources related activities and tasks in Success Factors/SAP and various other HR internal sites.
  • Work with International Services Office on issues related to foreign worker visas for current and prospective/new employees within the Tropical Medicine department. Will work directly with Faculty and Staff to be a point of contact for various visa related concerns. This role requires an ability to work well under pressure and adhere to various deadlines regarding visa processing.
  • Submit position requests/requisitions in Success Factors which include process new hires, terminations, transfers, salary or FTE changes, title changes, etc.
  • Maintain postdoc appointment system and submit/manage requests for guest accounts in our department.
  • Work with SuccessFactors' onboarding process to assist in handling new employees.

Minimum Qualifications
  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications
  • Experience with processing visa packets, SAP knowledge, SuccessFactors knowledge, and must be familiar with human resource processes and have some understanding of grants (pre or post award).
