Position Overview

The University of Kansas Financial Services division is critical to supporting the financial, instructional, and research activities of the Lawrence and Edwards campuses and other reporting locations. In order to provide excellent service to these critical mission areas, KU is seeking a Senior Business Analyst to work with designated units to analyze existing systems, processes, and procedures to identify areas of optimal efficiencies, establish consistencies and provide excellent service outcomes to align with the University’s strategic plan of Jayhawks Rising.

The successful candidate will collaborate with individuals and teams across numerous organizations to apply a Lean approach to projects and processes, engage and provide guidance to leadership on best practices, explore operational efficiencies through technology, and be a communication partner.  The position will also capture key performance indicators to develop metrics, generate and present reports to further analyze productivity outcomes and generate/deliver training programs to ensure change activities are communicated effectively.

This position reports to the Director of Strategic Initiatives for Finance and will work collaboratively with various Directors, Managers, Central Offices, and campus partners. This position supports the Director of Strategic Initiative’s role as project lead and serves as a liaison to Central Offices, Financial Services Committees, and workgroups developed to focus on strategic priorities.


Job Description

30% Project Analysis and Documentation

  • Evaluates current processes, resource allocations, and overall effectiveness of the Finance Organization’s business processes based upon data analytics, customer feedback, etc. individually and as a team.
  • Assigned to specific improvement projects to document existing and future state process planning and design. Works with stakeholders, committee members to outline objectives to ensure redesign is aligned with the unit goals, university policies and systems, etc. Focuses on a Lean methodology for efficiencies and reduction of errors, utilizes technology and automation (AI) where available and has consistent application measures.
  • Manages and tracks multiple project initiatives. Provides project timelines, reports on outcomes, and discusses adjustments to project timelines as needed with supervisor.
  • Develops KPI’s to measure outcomes to continuously evaluate efficiencies.
  • Documents and retains standard operating procedures. Ensures appropriate documentation of Financial Organization business processes, including maintenance of the process flow library.
20% Communications & Training
  • Serves as a liaison to build relationships with campus partners to facilitate Financial Organization interfaces (i.e., ticketing system and call center), identify service opportunities, and promote the Financial Organization’s value to the larger campus community.
  • Acquires feedback and data from users and campus partners to provide valuable information to the appropriate Services Experience Counsel to continuously review processes and possible redesign.
  • Maintains the Financial Organization’s website for outward facing customers and online resources regarding system and process documentation.
  • Collaborates with Directors, Managers, Committee Members, and staff to update process documents as needed.
  • Conceptualizes, develops, and creates training materials in various formats for users regarding process changes. Develops engaging relevant training materials such as presentations, tip sheets, workflows, videos, etc.
  • Supports the Director role as liaison to Central Office to ensure staff receive robust, clear, and consistent training that combines with central office training and fosters best practices.
25% Data Compilation and Analysis
  • Works with the Office of Analytics, Institutional Research and Effectiveness to develop organization reports and dashboards in Oracle Analytics in the Cloud (OAC) to provide leadership analytics on outcome measures.
  • Works with leaders, supervisors, and central office partners to create baseline metrics for organizational and individual performance activities.
  • Complies and analyzes transaction data and customer service data from University ERP systems and surveys. Provides report summaries to leadership.
  • Develops reports (current, historical, and scenario forecasting) and analyses for Financial Organization leadership to inform decisions regarding staffing and business processes.
  • Creates baseline metric reporting for organization and individual performance goals and outcomes.
20% System/Production Support
  • Serves as the subject matter expert in the implementation and management of the ticketing system software utilized by the Financial Organization. Provides support through upgrades, system outages, and errors identified by customers or vendor. Works with vendor regarding system issues that require resolutions. Gathers productivity metrics and provides data summaries to various levels of leadership and managers.
5% Other
  • Serves as the Financial Organization liaison with wider KU communities such as DEIB and University Senate.
  • Other duties as assigned.

Required Qualifications

  • Bachelor's degree and 5 years of related experience in business administration, finance, information systems or related field.
  • At least one year of work experience or coursework manipulating/analyzing data using spreadsheet and/or relational database applications (e.g., Excel, SAS, Access, Microsoft SQL Server, etc.)
  • At least one year of experience participating in project and process management initiatives.
  • At least one year of experience creating brochures, training manuals, PowerPoint presentations, job aids, SOPs, or websites for a professional organization.
  • Excellent written communication skills and attention to detail as demonstrated by application materials.

  • Preferred Qualifications

  • Experience with MS Teams/SharePoint online.
  • At least one year of experience analyzing processes and developing training materials: process documentation utilizing flowchart software, user manuals, and training videos.
  • One year of data analytics experience required to research and analyze complex data to develop accurate reports, identify valid solutions, forecast consequences of proposed action, and implement a course of action.
  • Ability to work independently in a team environment with a diverse stakeholder.  
  • A minimum of one year of experience managing a system or process that included end user interaction, workflow management, and production issue resolution.
  • Experience with process implementation, including formal training (e.g., Lean Six Sigma)
