Job Description Summary:
The Senior Associate Dean for Faculty Affairs and Development (SADFAD) has primary responsibility for all processes related to the life cycle of faculty, including faculty appointments, faculty advancement, and faculty development. The SADFAD serve as a key advisor to the Executive Dean in matters relating to KUSoM faculty, including appointments, assessments, policies, performance, and allocation of resources. The SADFAD represents the School of Medicine in settings in which institutional policy decisions may be made related to faculty.
The SADFAD works closely with and reports directly to the KUSoM Executive Dean. The SADFAD also works closely with the Vice Chancellor for Academic Affairs, General Counsel’s office, Associate Vice Chancellor and Chief Human Resources Officer, and the Health System regarding implementation of institutional policies that will affect KUSoM faculty. These include academic appointments across schools, employment or other compliance and regulatory policies affecting all faculty, the relationship between academic and clinical appointments, and other issues that may require a coordinated institutional response regarding faculty.
The SADFAD works with KUSoM Deans in Wichita and Salina and the Wichita Faculty Affairs dean to oversee and coordinate cross campus appointments for individual faculty as well as to coordinate faculty policies so that they are uniformly applied across campuses.
The SADFAD collaborates closely with the KUSoM Associate Dean for Finance and the Senior Associate Dean for Research (SADR) in determining resource allocations to faculty, programs and initiatives related to the School’s ongoing and planned faculty recruitments. The SADFAD works closely with the SADR in setting expectations and evaluating faculty performance related to research; in developing evaluative instruments; in setting and communicating performance goals related to research; in creating mechanisms to advance faculty development related to research and to create new research and administrative leaders. The SADFAD works closely with the Senior Associate Dean for Medical Education in evaluating faculty teaching expectations and performance and aligning faculty recruitment with educational needs.
The SADFAD works closely with Health System leadership to coordinate hiring of clinical faculty dually employed by UKP, including allocation of resources, and creating policies and procedures that involve both entities as they relate to faculty appointments and activities.
Job Description:

Required Qualifications

Education:

  • This position requires an MD, PhD or equivalent degree.

Work Experience:

  • Five years of experience in faculty-related activities in areas relevant to operations of an academic medical center including broad knowledge of faculty teaching activities (UME, GME, graduate), faculty research roles and opportunities, and programs for faculty development and progression.
  • Operational experience in an academic healthcare environment.
  • Experience in planning assignments, reviewing work, and supervising others.

Preferred Qualifications
Work Experience:

  • The incumbent should have five to ten years of progressively responsible leadership and administrative experience.

Skills:

  • Strong Analytical ability.
  • Ability to exercise sound judgment in applying and interpreting policies and procedures; interpersonal skills to establish and maintain effective working relationships with research investigators and all levels of personnel.
  • Ability to communicate clearly and concisely both verbally and written.

Job Duties Outline:

1) Provide leadership and strategic direction in the KUSoM

  • Serve as a key member of the Executive Dean's Advisory Team and participate in faculty-related committees as appropriate.
  • Provide technical and analytical expertise to the Executive Dean on a broad spectrum of issues related to faculty.
  • Lead the effort to organize and implement annual faculty assessments for all KUSoM faculty. Provide continuous improvement of the process, including providing feedback to department chairs.
  • Provide guidance to the Executive Dean in addressing faculty performance concerns.
  • Lead the development, implementation and continued review of strategic goals regarding faculty promotion and the award and maintenance of tenure.
  • Develop, implement, and maintain the faculty activity database (FACT), in collaboration with the SADR, and develop collaborations for widespread use within the institution.
  • Assume a key role in optimizing and maintaining the KUSOM mission-based resource allocation model.
  • Develop and participate in developing strategic plans for KUSoM, and more broadly KUMC, re: faculty recruitment, retention, and career progression.
  • Take a lead role in faculty recruitment, including developing areas of strategic focus, developing a system for applicant approval, and partnering with department chairs to formulate academic expectations for faculty.
  • Create and maintain faculty development programs to optimize faculty productivity and to encourage retention.
  • Create leadership development programs and opportunities for faculty in partnership with the SADR.
  • Participate in development of Medical Center-wide policies on topics including employment, compliance, and institutional resource allocations as they relate to faculty activities.
  • Provide oversight and management of faculty-related processes and data acquisition related to LCME and other accreditation requirements.
  • Perform other management services as delegated by the Executive Dean.

2) Serve in key leadership role to determine strategic direction and to develop, implement and evaluate faculty-related programs and initiatives.

  • Oversee the appointment process for all new School of Medicine faculty, including approval of all offer letters and coordination with the other relevant Senior Associate Deans.
  • Oversee all changes to existing faculty appointments, including track or FTE changes, promotion documentation, contract renewals, resignations, and retirements.
  • Oversee the appointment of volunteer (unpaid) faculty, including appropriate documentation for appointment and managing appointment renewals.
  • Investigate and maintain current knowledge of all regulations, standards, and legal issues so that all faculty processes are compliant with KUMC policies, including those of the Kansas Board of Regents.
  • Coordinate university faculty appointments with Health System employment for dually employed physician faculty.
  • Monitor the faculty database to ensure that information is accurate and provide feedback for corrections.
  • Design and implement a formal process for approval of faculty recruits in basic science departments, engaging as appropriate all Associate Deans and KUSoM leadership.
  • Implement the promotion and tenure process in the School of Medicine, including setting and communicating expectations for faculty, implementing the infrastructure for the review process, and providing recommendations to the Executive Dean.
  • Implement the annual process for Post Tenure review and assist faculty in responding to review outcomes.
  • Provide formal career guidance for faculty, especially regarding faculty advancement and the promotion process.
  • Maintain the FACT database, provide training materials, and continuously monitor for improvements. Coordinate use of FACT with other institutional initiatives.
  • Develop evaluative instruments for and participate in the annual evaluations of all SOM departments (clinical, foundational, and basic science).
  • Provide a program of faculty development opportunities for faculty to include onboarding, formal preparation for teaching, and wellness.
  • Assess departmental faculty development needs and create specific offerings to address them.
  • Develop a mentoring program for faculty in coordination with other institutional initiatives.
  • Provide support for institutional diversity programs, including leadership on the Diversity, Equity and Inclusion Cabinet and support of Unconscious Bias training.
  • Provide overall administrative support to Faculty Council. Organize all meetings and activities, including the annual School of Medicine Faculty retreat.
  • Provide administrative support to the KUSoM Women in Medicine and Science (WIMS) organization, including organizing all meetings and activities and providing budgetary oversight.
  • Oversee the activities of the faculty Elections Committee and implement the annual KUSoM faculty elections.
  • Oversee the annual faculty recognition award process.
  • Direct staff including administrative staff and Associate and Assistant Deans of Faculty Affairs in the day-to-day administration of faculty programs.
  • Serve in an advisory and/or ex officio capacity to faculty-related administrative committees, that include the Faculty Council Executive Committee and the WIMS Executive Committee.
  • Collaborate closely with the University Faculty Affairs office and the Vice Chancellor for Academic Affairs to coordinate faculty development opportunities.
