Departmental Overview

The College of Letter & Science Office of Undergraduate Advising (OUA), serving over 23,000 students, consists of 1 Dean, 1 Associate Dean, 2 Assistant Deans, 32 College Advisers, 17 F/T staff, and numerous student employees.  Staff provides advising and counseling to prospective students, 1st year and transfer admits, currently enrolled and readmitted undergraduate students, parents/family, faculty, staff of other administrative units or educational institutions regarding academic advising programs.  College Advisers discuss majors, enrichment opportunities, student support and engagement, resources, and College and University requirements. Decisions made by OUA impact all academic units within the College of Letters & Science and set precedent for other schools and colleges on the UCB campus. Services provided include individual and group advising, various advising workshops, outreach activities, and advising via online communication platforms such as Google Hangouts, webinars, online chats, and bCourse orientations.  OUA works collaboratively with both academic and administrative departments across campus.  OUA has begun to implement an Advising Neighborhood model by division and academic discipline which will result in College Advisers and Undergraduate Major Advisers working more closely and collaboratively to enhance the student experience.

In addition to individual and group advising provided by College Advisers, Senior Advisers provide specialized expertise and serve as consultants utilizing independent decision-making authority to review petitions, interpret and maintain uniform and consistent application of College policies and regulations.  Represent the unit on cross-campus advisory committees relevant to the functions of L&S Advising Services.  Senior Advisers are assigned programmatic responsibility for the development, implementation, and management of special programs and projects designed to enhance student success and office efficiency and efficacy.  Senior Advisers will serve as “divisional leads” and be an active participant in the advising neighborhoods.



Required Qualifications

ACADEMIC ADVISING:

  • Manages a caseload of undergraduates using a holistic advising approach.
  • Apply advanced student development theories and academic advising concepts, along with knowledge and experience of advising to support undergraduates in identifying, defining, and resolving intricate student issues in an effort to help students obtain their educational goals.
  • Establishes individualized, collaborative relationships with students to learn their skill levels, aptitudes, interests, and strengths.
  • Assists students with identifying academic and career goals and establishing realistic plans to achieve them.
  • Advise students on majors and preparation for careers and graduate work in advising neighborhoods (requiring knowledge of academic disciplines in their group and general knowledge for referral for 80+ majors/60+ minors, pre-professional programs and joint majors with other schools and colleges).
  • Advise students on the wide range of course possibilities and/or ways to complete degree requirements that may not be clearly defined.  
  • Create and execute long-term academic plans that enable students to explore, discover, and become engaged learners guiding students to engage in a wide range of academic and non-academic enrichment opportunities such as study abroad, internships, undergraduate research opportunities, scholarships, and extracurricular activities. 
  • Assess and monitor students’ academic progress to ensure timely declaration of major, adherence to overall unit limits, and advancement to degree.
  • Counsel on strategies to uphold progress, and monitor academic outcomes that enhance students’ academic plans. 
  • Impose academic blocks and/or require scholarship contracts for students who are out of compliance with College expectations.
  • Verify students’ completion of degree requirements when there are no clear precedents or articulations, or when transfer work is involved.
  • Counsel students experiencing complex problems resulting in academic difficulty.
  • Identify barriers, distractions, and complications contributing to academic probationary status or dismissal.
  • Advise on special eligibility requirements such as honors programs/fellowships/ scholarships.

PROGRAM MANAGER:

  • Serve as the subject matter expert and program manager or coordinator in assigned areas.
  • Identify emerging student needs based on assessment feedback and new research in the student development field.
  • Ensure effective planning, implementation of new programs, projects, and advising tools to meet programmatic objectives.  
  • Establish program goals, determine priorities and set deadlines.
  • Create written procedural guidelines for internal staff and key administrative staff in other units.
  • Educate staff regarding policy issues, rules, and regulations germane to the project.
  • Plan and oversee complex, high-visibility campus events that foster student success and promote the value of a liberal arts education.
  • Establish and monitor all programmatic goals and objectives for the academic year.
  • Direct work assignments, manage staff and monitor workflow of programs directly related to the mission of the office.
  • Benchmark with other colleges to identify best practices, trends, etc. to improve the management of assigned project.

RECRUITMENT AND ADMISSIONS

  • Using extensive knowledge of College/department requirements assist in disseminating information about the College and its programs at admissions outreach and recruitment receptions.  
  • Provide prospective students, parents and school administrators with pertinent information about College programs, articulation agreements, and related career choices.  
  • Represent the OUA at recruitment events to communicate information about the College.  
  • Convey extensive knowledge of other post-secondary institutions, including community colleges and four-year schools as they relate to transfer course work.
  • Advise counselors from other colleges on standards for completing L&S requirements or in preparation for transfer to the College.  
  • Through petition and transcript review, and evaluation of Academic Progress Report, determine eligibility for internal campus transfer from another UCB school or college into L&S.

PROFESSIONAL DEVELOPMENT:

  • As professional development is encouraged and supported, demonstrate commitment to professional growth and development as well as innovation and improvement of counseling and administrative skills.
  • Remain current with trends in higher education and the advising profession locally and nationwide as they apply to today’s college students.
  • Maintain professional growth and development through attendance at weekly office-wide training sessions, seminars, conferences, and through participation on campus-wide committees and in professional organizations.
  • Attend and give presentations in the office and at conferences, such as the UCB Advising, Counseling, UC system-wide academic advising conferences, and regional and national NACADA conferences.


Required Qualifications

  • Advanced knowledge of advising and counseling techniques, knowledge of multiple majors, colleges, & schools.
  • Advanced knowledge and understanding of student development theory.
  • Thorough knowledge of or ability to learn College policies, procedures, requirements, precedents and application of policy.
  • Advanced skills in judgment and decision-making, problem solving, project management, event planning, and assessment skills, including establishing and measuring program and/or learning outcomes.
  • Strong abilities in problem identification, reasoning, ability to develop original ideas to solve problems.
  • Excellent verbal and written skills.
  • Proven ability to create and maintain effective working relationships with faculty, staff and students.
  • Administrative experience in a college setting.
  • Team player with strong interpersonal and organizational skills and ability to multi-task.
  • Thorough knowledge and experience in working with historically underrepresented student groups, including ethnic minority communities, first generation college students, re-entry, student-parents, rural students, LGBTQI, and students with disabilities as well as with international and out-of-state students.
  • Ability to supervise team members, and assign, direct, and review the work of staff and students.
  • Bachelor’s degree in related area and/or equivalent experience/training.


Preferred Qualifications

  • Master’s degree in Counseling, Education, Higher Education Administration, or related field preferred, and/or equivalent training/experience.


Salary & Benefits

This is an exempt, monthly paid position.  Annual salary is commensurate with experience.
