Senior Administrator

Lawrence Berkeley National Lab’s (LBNL ) Materials Science (MSD ) Division has an opening for a Sr. Administrator to join the team.


In this exciting role, you will be supporting two Principal Investigators in Energy Storage & Data Science at Berkeley Lab. Apply independent judgment to address challenges, manage logistics, schedules, and extensive contacts. Coordinate foreign travel, lead program reviews, and facilitate meetings with DOE and other funding sources. Join us in shaping cutting-edge research!

What You Will Do:

  • Calendar and Email Management:
    • Efficiently manage both Principal Investigators’ calendars and emails.
    • Interface with internal and external parties on their behalf.
    • Provide dedicated administrative support to ensure responsibilities and deliverables are met.
  • Document Preparation:
    • Prepare complex technical and scientific documents, ensuring compliance with DOE, Berkeley Lab, and other requirements.
    • Coordinate the preparation of reports, presentation materials, and other relevant documents.
  • Travel Support:
    • Provide comprehensive travel support, including estimating costs, itinerary research, creating travel authorizations, and submitting expense reports.
    • Ensure compliance with Lab policies and obtain necessary approvals.
  • Administrative Support Services:
    • Plan, organize, and coordinate administrative functions such as time reporting, hiring, publications, procurement, and scientific equipment tracking.
    • Maintain resumes, publications, and support for websites, publications, and reference databases.
  • Coordination and Communication:
    • Develop and maintain contacts with DOE, subcontractors, other National Laboratories, UC, and more to meet administrative needs.
    • Interface with other Berkeley Lab departments on behalf of Principal Investigators.
  • Program/Project Reviews and Events:
    • Coordinate and manage high-level program/project reviews, workshops, and meetings.
    • Handle logistics, agenda, approvals, audio/visual arrangements, and support for speakers and visitors.
  • Training and Support:
    • Provide training and support for Principal Investigators' research groups on Lab policies and procedures.
    • Offer direction and standards regarding administrative functions, policies, and procedures.

Additional Responsibilities as needed:

  • Support the PI’s Program Manager in the administrative aspects of contracts.
  • Coordinate with HR on requirements for the student and postdoctoral employees and affiliates.
  • Other tasks as assigned.

What is Required:

  • BA/BS degree or a minimum of 4 years of related experience, or an equivalent combination, supporting large/complex departments.
  • Extensive experience in office management across diverse environments.
  • Strong written and verbal communication skills.
  • Demonstrated skills in project coordination, data management, and event coordination.
  • Proven flexibility as a team player, leading or contributing effectively.
  • Creative problem-solving for cost-effective customer service.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe Acrobat.
  • Comprehensive knowledge of Zoom, Google applications, email, and calendaring.
  • Quick adaptation to new technologies and software.
  • Ability to thrive in a fast-paced environment, showing initiative, responsibility, and flexibility.
  • Effective multitasking in a dynamic setting.

Desired Qualifications:

  • Knowledge of LBNL, DOE, and UC policies and procedures. Working knowledge of Google applications, and Berkeley Lab financial and HR systems, or related experience in UC system
  • Knowledge and experience providing executive-level support in a research, academic or similar environment.
  • Experience arranging and rearranging complex foreign and domestic travel, including approvals and expense reports.
  • Demonstrated ability to use creativity and problem-solving skills to meet support needs.
  • Experience editing and formatting written communications and presentation materials.
  • Knowledge of and ability to appropriately follow, analyze, and interpret policies and procedures of particular governing institutions.

Notes:

  • This is a full-time career appointment, exempt (monthly paid) from overtime pay.
  • This position is expected to pay $83,568 -$104,460 per year, which fits within the full salary range of $83,568 - $114,912 for the A40.3 job code. Salary for this position will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.
