The Center for Professional Education and Lifelong Learning is hiring an Sr. Administrative Service Specialist to assist the Director, the program coordinators, and support staff with all aspects of Non-credit course offering. Duties will include interaction with instructors, scheduling interviews, preparing course details. Assist program coordinators with all the details of the Kids U summer camp program. Handle all company contracts for program coordinators including interaction with instructors and company contacts. Supports staff in maintaining registration processes for the department. Responsible for creating instructor/course packets for non-credit courses. Being the "go-to" person for the department for direction and assistance with information on past courses/instructors, course offerings enrollment data.  This position is the departments day to day operations manager. 

 



Qualifications

 

Job Duties:

·        Work with Director and the program coordinators on daily course offerings. Prepare course evaluations, course data reports and income reporting. 

·        Provide the leadership with all aspects of the course data analysis to make decisions of continued offerings with enrollment data, and financial management.  Providing data analytic to track course trends student performance and course popularity to make recommendations of continued course offerings to director and program coordinators.

·        Collect feedback from current and past students from course offering to assist in providing recommendations of improvement and suggestions of concerns.

·        Management of all enrollments for online programs and all non-credit course offerings. 

·        Maintain enrollment software with student data, course details and financial input to the Aceware software.

·        Maintain enrollment & financial data for all third-party providers (input enrollments; MindEdge, CCI, ed2go, The CE Shop, QuickStart, Center for Legal Studies, All Campus, zschool, Med Certs, Pat Summitt Leadership)

·        Prepare weekly course signs, weekly course schedule with what instructors need for courses.

·        Prepares all completion certificates for students request. 

·        Send course evaluations and student responses out to instructors and leadership.

·        Handle all company/instructor contract paperwork from program coordinator including interaction with instructors and company contacts. Provide oversight of external contracts with third party providers. Management of enrollment data, payment status and student records for accuracy.  Provide oversight and management of data for program coordinators on instructor contract terms and status when scheduling course times and payment for teaching. Provide data entry to maintain instructor profiles and payments in Aceweb data base.  Accuracy and attention to details is critical so payments to contract vendors and instructors are paid correctly.      

·        Develop and schedule all course offering dates, times and location in the University 25 Live system in addition to assigning rooms in the UT Conference Center for all Non-Credit courses.

·        Develops and submits student surveys of all courses offered by UT Non-Credit Programs through the University Question Pro software system.

·        Create and manage all things related to Qualtrics (Course proposals, course evaluations, surveys, CEU Registrations.

·        Process weekly deposits of enrollment and department income.  The annual income deposited for CPELL is $1.4M-$1.8M.

·        Create invoices and manage account receivable balances from Student Manager software (ACEWARE)

·        Assist program coordinator in planning and set-up face-to-face course room set ups, including computers, av and meeting equipment.

Qualifications:

Abilities to manage multiple task daily with accuracy and attention to detail. Strong people skills and oral communication skills.  Knowledge of multiple computer software system and an understanding of computer technology. Good written and proofreading skills.  Knowledge of financial reporting with profit and loss statements.

Education:

  • High school diploma or Associate’s degree
  • 1-2 years of professional experience in event coordination, office management, financial management, or student support programs.
