Department Summary
Counseling & Testing Services consists of two inter-related parts: The Counseling Center and Testing Services. We exist to serve the students and community of UNT in support of the mission of the University. Through our Counseling Center cervices, we strive to support the academic success and general well-being of UNT students through professional counseling, career counseling, consultation, mental-health screenings, educational programs and self-help resources as well as referral services. We offer to consult with Students, Parents, Faculty and Staff who may be concerned about a UNT student (while still respecting the confidentiality of our clients). With client permission, we often work closely with physicians and psychiatrists, the Career Center, Office of Disability Accommodations, and many other helpful resources in order to provide the best overall care. Our Testing Services provides a wide range of services including traditional admissions testing, computer-based testing, career testing, and many other tests.
Position Overview
To assist the Director and Associate Director with administrative tasks and to manage the overall operation of the office in things such as budget, inventory, payroll, records disposition, purchasing and scheduling to include the student assistants and practicum students. Works closely with Admininstrative Assistant III, Testing Coordinator and Testing Specialists.

Minimum Qualifications
Bachelor’s Degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training
Knowledge, Skills and Abilities
• Exceptional communication and interpersonal skills.
• Advanced written communication skills.
• Advanced Microsoft Office skills.
• Knowledge of accounting/budgeting procedures.
• Ability to work under pressure, to adjust to constant changes, to handle multiple
tasks, and to coordinate the work of others.
• Ability to keep complex records, to assemble and organize data of complex
nature, and to prepare and submit reports in acceptable formats.
• Ability to conceptualize, plan and organize multiple programs and assignments
effectively.
• Ability to work on complex and confidential tasks utilizing judgment, tact, and
resourcefulness.
• Skill in developing and maintaining good working relationships.
• Knowledge of policies, practices, procedures and terminology of assigned
function.
• Supervisory skills.
Preferred Qualifications
Experience managing a budget for an office.
Experience supervising staff.
Experience working in a College Counseling Center.

Job Duties


o
 HR Liaison for the department. Attends various meetings for Director when needed and reports back to Director. Staff Meeting minutes.
o
Responsible for training all employees on their responsibilities including timesheets, eleave, payroll, travel, and HR.
o
Tracks and keeps records of Asset and Space Inventory. Responsible for purchases made on the UNT purchase card and reconciliation of receipts to statement on a monthly basis.
o
Responsible for submitting Travel Requests and Reconciling  travel expenses for reimbursement via Concur. Maintain travel records for CTS per UNT Records Retention schedule. Monitors annual travel budget.
o
Maintain proper appearance.  Maintains positive relationships with faculty, staff, students, co-workers and others.
o
Interview, hire, and supervise front desk staff. Responsible for oversight of reception area and schedule for appointments.  Maintains a welcoming and confidential setting.
o
Maintain budget files for departmental accounts and complies with University regulations.  Runs periodic Cognos reports for Budget monitoring. Liaison with Budget officer and provides regular input to the Director on Budget needs and changes.
o
Assists the Privacy and Security Officer in administrative functions required by HIPAA. Assist in maintaining federally required HIPAA employee training files. Abide with all applicable standards, rules and regulations as stated in the UNT compliance program. Abide by UNT Ethics Policy and the Code of Ethics.
o
Liaison with Administrative Coordinator of Testing. Coordinates staff coverage and cross training as needed.
o
Work closely with Facilities Department to accomplish repairs and routine maintenance. Make arrangements for equipment repair or maintenance when necessary. Assists in moving plans or expansions as indicated.
