Senior Administrative Coordinator to the President of the American Academy of Social Work and Social Welfare

The USC Suzanne Dworak-Peck School of Social Work is seeking a Senior Administrative Coordinator to provide executive-level support to the President of the American Academy of Social Work and Social Welfare (AASWSW). This position provides professional administrative support to the President, the chairs of board committees, and the Executive Director of the Grand Challenges for Social Work.  The position will report to the Dean, and will assist in the Dean's office.  This includes assisting with the dean’s calendar, prepares a daily agenda with meeting materials, facilitates the signing of confidential and sensitive documents, ensures conformity to university and departmental procedures. This position is expected to be proactive and anticipatory in identifying issues that could affect the Dean's office and the American Academy of Social Work and Social Welfare.

Primary responsibilities include but are not limited to: takes a proactive approach to identifying and solving problems, and is able to work with minimal direction yet knows when to seek guidance and clarification. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks, will be exceedingly well organized and flexible, and capable of managing the administrative challenges of supporting the Office of the Dean and the American Academy of Social Work and Social Welfare. Must be able to create and acquire content for websites, email and newsletter, and other online communications (social media).  The successful candidate will be an excellent communicator, discreet, and have a positive impact on the work environment. Additional requirements include excellent written and verbal communication skills, diplomacy, professional appearance and demeanor.

Specific job responsibilities include:

  • Reports to and provides support to the President of the American Academy of Social Work and Social Welfare, Chairs of Board Committees and the Executive Director of the Grand Challenges.  Supports the Dean's office of the USC Suzanne Dworak-Peck School of Social Work, which includes handling telephone and e-mail communications, addressing administrative matters and inquiries as appropriate
  • Organizes meetings and event planning, arranges conference calls, schedules and coordinates dates/times, venues, agendas, meeting materials, and catering; follows up with implementation, as appropriate.
  • Prepare all travel arrangements, plans and setup the annual induction ceremony at SSWR.  Work with SSWR and TraveLink
  • Perform financial activities, tracking expenditure, reconciling operating reports, resolving discrepancies, and processing invoices.  Managing communication between the president, board member, fellow, and the outside Academy Finance Committee.
  • Establishes and maintains professional working relationships with USC Suzanne Dworak-Peck School of Social Work faculty, staff, university administrators, executives, support staff, board members, and committee chairs and co-chairs
  • Will create and acquire content for websites, email, newletters and other online communications (social media). 
  • Provides administrative and technical assistance on a wide range of special projects as assigned.

Preferred Qualifications:

  • Education: Master’s degree and 1-year relevant experience in business, public administration or administrative services.

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education Minimum Experience: 3 years Minimum Field of Expertise: Secretarial or specialized clerical and administrative experience
