A part of the Texas A&M University Health Science Center, Texas A&M School of Dentistry  in Dallas was founded in 1905 and is a nationally recognized center for oral health sciences education, research, specialized patient care and continuing dental education. What you need to know  


Proposed Minimum Salary: $4,166.66 monthly 


Work Schedule/Location: This is an on-site role with a typical schedule of Monday – Friday 8am to 5pm.

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience.

  • Six years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multi-task and work cooperatively with others.

  • Strong interpersonal and communication skills.

  • Planning and organizational skills.

Preferred Qualifications:

  • Office administration experience in higher education, particularly working with upper-level management.

  • Notary experience; Certified Administrative Professional (CAP)

  • Proficient in Microsoft office: Word, Access, Outlook, PowerPoint, and Excel.

  • Experience with AggieBuy, Concur, and Workday.

  • Strong organizational skills, flexible, and detail-oriented ability/willingness to learn new software when required.

  • Familiarity with transcribing meeting minutes for committee meetings.

Essential Duties/Tasks:

Students

  • Support for Student Promotions Committee and any disciplinary actions.

  • Monitors timelines and identifies issues regarding student matriculation. Sends notices for, and registers students in selective courses and maintains the database for tracking selective courses completed by D1, D2, D3, and D4 students as required for graduation.

  • Develops surveys for collection, preparation of data, and reporting for course evaluations.

  • Makes room reservations for all pre-doctoral courses and ADEX.

  • Performs syllabi collection, gives assistance to students.

  • Maintains student files/records.

Committees

  • Provides staff support for assigned committees through personal interaction, arranging and attending committee meetings, taking/transcribing/disseminating minutes and using computer, telephone, email, and filing.

  • Responsible for making room reservations as needed for meetings/seminars, assists Academic Affairs staff, and interdepartmental staff, meeting room/Zoom setup, calendar invites, minutes, sign-in sheets, etc.

Office

  • Serves as point of contact for greeting visitors to office, will receive, protect, and disseminate sensitive and confidential information necessary to the mission of the office/college.

  • Participates in the planning and execution of administrative operations and in the resolution of operating problems.

  • Assists in the development of the budget, monitoring for compliance with policies and procedures.

  • Enters and oversees purchasing requests and payments. Coordinates travel arrangements for staff and guests.

  • Assists in training of new employees.

  • Plans and coordinates logistical and administrative support for events. Makes recommendations for process improvements, administrative changes, or new initiatives.

  • Schedules meetings, specialized activities, projects, long-term initiatives, or new programs. Serves as notary.

  • May be called on to act as alternate APO and monitor department inventory.
