The Senior Administrative Coordinator I, provides direct administrative support to the Department Head. Coordinates administrative support for academic programs. Advises graduate students concerning academic requirements and provides information on and refers students to the university resources that can assist them in meeting their needs or solving their problems. Develops and oversees projects, and coordinates faculty promotion and tenure processes, class scheduling and course approvals. Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.
  • Six years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Strong organizational, analytical, interpersonal and communication skills
  • Working knowledge of word processing, presentation and spreadsheet software
  • Ability to plan, organize and implement effectively. Ability to use standard office equipment and personal computers
  • Demonstrated ability to maintain confidences and exercise discretion
  • Ability to multi-task and work cooperatively with others
  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative

Preferred Experience:

  • Six years of experience in office administration or project management. Previous supervisory experience

Preferred Licenses and Certifications:

  • Certified Administrative Professional

Preferred Knowledge, Skills, and Abilities:

  • Knowledge of graduate academic programs and student support services, and processes applicable to them

Responsibilities:

  • Office Administration: Analyzes and develops administrative support operations, methods and procedures to maintain flow of work and desirable levels of productivity. Coordinates work flow and promotes communication between functional areas and outside units. Prepares departmental budget. Resolves complex, highly sensitive and confidential administrative matters. Analyzes requirements for projects or initiatives. Coordinates office records retention. Coordinates the maintenance of office reference and resource materials. Processes faculty hire packets and forms required by dean of faculties and office of graduate studies.
  • Administrative Support to Department Head: Serves as personal assistant and liaison to the Department Head. Provides long-range planning and scheduling activities. Plans and coordinates logistical and administrative support for events, meetings or other special functions and provides on-site support. Attends meetings or committees on behalf of the Department Head. Coordinates and monitors action items and assignments made by the Department Head. Researches, compiles and applies information, making evaluative judgments on appropriate data to use. Assures the confidentiality of the Director's mail, correspondence and reports. Analyzes requirements for projects or initiatives. Coordinates faculty promotion and tenure processes and maintains faculty personnel records. Plans work and assists supervisor in determining work priorities. Reviews forms for supervisor.
  • Advising: Schedules classes, provides academic advice to graduate students and prospective students, and advises students with academic, probationary, and financial concerns and determines possible courses of action. Provides preliminary approval of degree plans, facilitates the processing of course substitutions, add/drops, Q drops, withdrawals, and change of curriculum. Assists with establishing and monitoring student probationary terms as necessary and responds to inquiries from students. Interprets university and college policies and procedures. Verifies completion of degree requirements, prepares various academic and advising reports, registers new students, and uses appropriate university systems for student registration, degree audit, and course prerequisites. Exercises independent judgment for the adjustment of student records.
  • Development: Serves on committees for prospective student interview weekend, new student orientation, and graduation celebration. Assists in the development and revision of program informational materials, recruiting materials and handbooks for department. Assists with development and revision of departmental information for graduate catalog; maintains program information for posting on the web. Serves as a personal assistant to committees.
  • Supervision: Coordinates administrative support functions and, at the discretion of the department head, will indirectly supervise, train, and evaluate the work of other support staff and/or student workers. Performs other duties as assigned.
