The Health Science Center (HSC) is looking for a Senior Administrative Coordinator I to serve as a part of the School of Medicine Dean's Administration team. Job Description Summary:  The Senior Administrative Coordinator I, under direction, provides administrative support for the School of Medicine Office of the Dean, which includes high level administrators, special events, projects, initiatives, and programs. This position is a highly valued team member in a fast-paced environment, and all team members will have opportunities to grow, innovate, and collaborate.


Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Six years of related experience.

Required Special Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.
  • Experience working with diverse individuals and communities.
  • Ability to multi-task and work cooperatively with others.

Preferred Experience:

  • Experience in higher education, preferably Texas A&M University.
  • Served as the administrative support to multiple high-level administrators.
  • Coordination of travel arrangements.
  • Monitored project timelines and identified issues.
  • Experience in a fast paced, collaborative environment.
  • Strong written and verbal communication skills.

Job Responsibilities

Office Administration

  • Support the School of Medicine Office of the Dean operational functionality and assist in the development of administrative procedures and protocol to increase efficiency.
  • Serve as primary contact for the Office of the Dean, which includes addressing phone and email inquiries. 
  • Manage inventory of office supplies and merchandise.
  • Participate in hiring, training, supervising, and evaluating student employees.
  • Develops administrative objectives and strategies.
  • Assists in the development of budget.
  • Formulates, interprets, and/or implements management policies or operating practices.

Administrative Activities and Services

  • Represent the School of Medicine annually as the Area Coordinator for the State Employee Charitable Campaign (SECC).
  • Serve as Custodian for Office of the Dean vehicles.
  • Maintain the Office of the Dean property, which includes serving as the property management contact.
  • Monitor project timelines, identify issues, and make recommendations to enhance efficiencies and quality control.
  • Participates in the planning and execution of administrative operations and procedures.

Executive Administrator Support

  • Support the Special Assistant to the Dean with various administrative functions.
  • Serve as main administrative support for School of Medicine Faculty and Staff Meetings.
  • Organize various meeting logistics, which includes catering orders, room reservations (in person & virtual), and creating meeting minutes.
  • Coordinate travel arrangements and prepares itineraries for various administrators in the Office of the Dean.
  • Handle the submission of receipts and various required paperwork for Office of the Dean payment card and DART card purchases.

Other Duties

  • Performs other duties as assigned.
