Job Description: Serves as a Senior Administrative Coordinator I for the maternal-child health initiatives within the Office of Clinical and Outreach Affairs at the School of Nursing. Provides administrative support for the Nurse-Family Partnership Program (NFP) and HIPPY programs, and future maternal-child health initiatives. Works under the supervision of the Director of maternal child health initiatives within the School of Nursing.

Qualifications

Required Education:

  • Bachelor's degree or equivalent combination of education and experience.

Required Experience:

  • Six years of related experience

Required Special Knowledge, Skills, and Abilities:

  • Ability to communicate effectively
  • Strong organizational skills
  • Ability to enter data accurately into multiple sponsor-required databases
  • Ability to make lasting, positive connections
  • Ability to be a team player
  • Ability to multi-task and work cooperatively with others.
  • Skilled use in Microsoft office suite (Word, PowerPoint, Excel etc.)

Preferred Education/Experience:

  • Bachelor degree
  • More than ten years of administrative support
  • Experience working on grant-funded projects/teams
  • Experience working with diverse individuals and communities
  • Experience working with new programs/start-ups
  • Experience working with budgets and submitting grant-required reports

Preferred Special Knowledge, Skills, and Abilities:

  • Excellent communication skills, both written and verbal
  • Ability to work beyond normal office hours as needed

Job Responsibilities

Administrative Support Duties

  • Participates in the planning and execution of administrative operations related to the Nurse-Family Partnership (NFP) and HIPPY programs and future maternal-child health initiatives
  • Analyzes requirements for projects and initiatives and contributes to their planning and implementation.
  • Provides technical information regarding administrative procedures, services, or programs.
  • Contributes to developing and maintaining policies and procedures for NFP and HIPPY programs, in compliance with funders’ requirements.
  • Develops, evaluates, and ensures adherence to administrative and technical procedures.
  • Provides support to the Director and the PI, including but not limited to, support for outreach and educational materials and grant activities support.
  • Assists with conduction of supply inventories and orders as appropriate.
  • Provides logistical and administrative support for faculty and staff events, meetings and other special functions.
  • Coordinates meetings, prepares agendas, and prepares meeting minutes.
  • Supervises assigned staff

Community Outreach and Support

  • Contributes to community outreach initiatives
  • Provides support for community outreach events and meetings.
  • Communicates regularly with grant participants and stakeholders
  • Continuously expands knowledge and understanding of community resources and service programs provided
  • Applies, interprets, and communicates policies and procedures and serves as a resource for answering questions regarding policies
  • Prepares, modifies, and verifies documents
  • Assists on special projects in relation to maternal child health initiatives as needed

Database, Compliance and Records Management

  • Coordinates the maintenance of files and records
  • Performs data entry and retrieval and maintains data files
  • Supports office records retention and maintenance of office references and resources materials
  • Complies with record retention policies and procedures related to Health Insurance Portability and Accountability Act (HIPAA) and  Protected Health Information (PHI)
  • Collects and compiles tracking and assessment data, under the direction of the Director
  • Accurately maintains daily activity logs regarding participant activity and destinations
  • Assist in the record keeping or archiving of documents or resources used for training
  • Works with Director of Research for School of Nursing on budget requirements for maternal child health initiatives
