What we want

The Senior Administrative Coordinator – Career Development, is responsible for administratively coordinating career development for Counseling & Psychological Services (CAPS) staff. This position will serve as a first-year career mentor for new hires beginning with a month-long on-boarding introduction to the department and will assist with professional development opportunities by reviewing/purchasing webinars for the department, coordinating travel for staff, and assisting with conferences hosted by CAPS.

This position will additionally assist the administrative leadership team during performance evaluation timelines by scheduling and coordinating administrative tasks. Additionally, duties for this position will include personnel conflict resolution. Works under direction and coordinates administrative support for CAPS to include the exercise of discretion and independent judgment with respect to matters of significance. Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience

  • Six years of related experience

Required Knowledge, Skills, and Abilities:

  • Strong organizational skills

  • Ability to problem-solve independently

  • Ability to multi-task and work cooperatively with others

Preferred Education and Experience:

  • Degree in psychology, social work, business, or related field

  • Experience utilizing design software InDesign to create on-boarding materials

Preferred Knowledge, Skills, and Abilities:

  • Experience with Workday personnel software

Responsibilities:

  • Administrative - Coordinates administrative support functions. Plans and coordinates administrative activities and services. Develops administrative objectives and strategies. Participates in the planning and execution of administrative operations. Participates in the resolution of operating problems. Plans, implements, coordinates, analyzes, monitors, and evaluates administrative support functions. Assists in the development of departmental budget. Formulates, interprets, and/or implements management policies or operating practices. Develops administrative and technical procedures. Recommends guidelines, policies, rules, and regulations. Monitors compliance with policies and procedures. Monitors project timelines and identifies issues. Performs special analyses and project summaries. Prepares and reviews operational and special reports. Makes recommendations for process improvements, administrative changes, or new initiatives. Coordinates office records retention and maintains office references and resources materials.

  • Onboarding Support - Coordinate with CAPS administrator and staff to schedule start dates for new staff. Schedule new staff with various administrators and key personnel to onboard into the system during first month of employment. Serve as a first-year career mentor for new staff with check-ins at one month, three months, six months, and one year timeline. Provide InDesign on-boarding booklet for new staff to review/learn. Post positions to specified job sites as directed by HR Generalist. Schedule candidate interviews. Participate in interviews for positions as needed. Schedule travel accommodations for onsite interviews. Coordinate between CAPS administrator and HR staff for job offers.

  • Professional Development - Purchase professional development continuing education webinars and trainings for clinical staff. Assist staff with securing continuing education certificates following trainings. Assist staff in budgeting/utilizing professional development funds annually. Coordinate travel needs for staff attending professional development activities. Assist with organizational needs for CAPS annual hosted conferences.

  • Performance Evaluations & Personnel - Assist administrators in upcoming due dates for performance evaluation timelines. Assist staff with deadlines to complete various administrative tasks related to performance evaluations. Serve as point person for personnel concerns, corrections, and feedback. Performs other duties as assigned.
