Position Summary:

The sky's the limit when you come soar with the School of Business Administration (SBA). The Mittelstaedt Center for Advising and Business Student Success in the SBA is hiring a Senior Administrative Assistant to take us to new heights. This person will coordinate daily operations and serve as the front desk customer service lead in the Mittelstaedt Center for Advising and Business Student Success. Provides administrative and clerical support to the manager and 5 academic advisors. Performs all required office management duties including office email account communication, answering the phone, maintaining student records, running reports to support the manager and advisors, and assisting in employee hiring and processing. Hires, trains, schedules and directs the work of student employees and peer advisors and processes confidentiality agreements to get access for needed systems. Supports development and maintenance of department procedures and Google drive/Box files. Handles forms processing workflows. Tracks flags in the Student Success Network and organizes student academic probation agreements and meetings for advisors. Preserves office equipment, supplies and forms. Attends regular administrative meetings and other committees as needed and provides updates to Manager. Provides administrative support for Business courses taught by the School of Business Administration (SBA).

Minimum Qualifications:

Associate’s degree;
Four or more years of administrative support experience in a professional setting;
Experience using Microsoft Office suite of products;
Experience with file storage organization in a shared platform;
Ability to organize and update people’s records (as in employee, student, client, etc.);
Ability to manage multiple priorities and to work independently;
Ability to take initiative and suggest process improvements for Mittelstaedt Center for Advising and Business Student Success;
Experience following procedures and processes;
Excellent written, phone and interpersonal communication skills;
Ability to interact with multiple constituents including students, faculty, staff, administrators, and parents;
Availability to work weekdays 8:30am to 4:30pm with minimal but occasional evening or weekend hours.

Preferred Qualifications:

While not everyone may possess all of the preferred qualifications, the ideal candidate will bring many of the following:

Bachelor’s degree;
Four or more years of administrative support experience in a higher education institution professional setting;
Experience using Microsoft Excel including use of pivot tables;
Experience using Gmail, Google Calendar, Drive, and Box;
Experience using Adobe Sign, Zoom, Ellucian Banner, Cognos Analytics, TeamDynamix, Isidore, Student Success Network, Degreeworks, PageUp/Handshake, Runway, and Courseleaf products;
Experience managing student records;
Experience using social media to communicate with students; knowledge and sensitivity to the Catholic, Marianist values of the University of Dayton.
