Overview of Senior Administrative Assistant to the Dean

The Senior Administrative Assistant to the Dean provides office support and is responsible for organizing effective and efficient University College operations on both the Hammond and Westville campuses.  Purdue Northwest’s University College houses both the Honors College as well as PNW’s undecided/undeclared student population. The work station of the Senior Administrative Assistant is on our Hammond campus with occasional travel to our Westville campus.  Occasional remote work is possible as determined by the Dean.  


Duties and Responsibilities of Senior Administrative Assistant to the Dean
  • Provides administrative support for all staff of University College including, but not limited to: maintaining the calendar of the College and the Dean; organizing and maintaining records of course syllabi, course schedules, course evaluations, and data used for assessment and other purposes; facilitating book ordering and maintaining relevant records; assisting in the management of University College physical space; maintaining stock of office supplies and overseeing office equipment; coordinating College purchasing; and scheduling College and university space; coordinates conference participation and assists in making travel and related arrangements for College staff, faculty, and students.
  • Complete special projects as assigned based on the needs of University College.
  • Provides excellent customer service to all constituencies and serves as an initial point of contact for various internal and external customers including, but not limited to: alumni, current and prospective students, faculty, Academic Affairs, Information Services, the Office of the Registrar, Career Services, Financial Aid, Campus Life, Athletics, University Village, Facilities, the Office of Undergraduate Research, and the other academic colleges. 
  • Manages University College mail (physical and electronic) and maintains records including, but not limited to: alumni and current student contact information, student event participation and volunteer hours, student records, and campus events. Tracks College expenses and completes relevant paperwork for the College, preparing appropriate reports to help manage the budget, including payroll for instructional staff and student workers; works with the Payroll office to ensure the College meets university guidelines for the hiring of staff and student workers; and prepares and issues contracts for instructional and other staff.
  • Assists in the coordination of key events including, but not limited to: Honors College Welcome Days, PNW Preview Days, recognition events, meetings, research exhibitions, and student and other events. Coordinates meetings of faculty, staff, and students, creating and maintaining minutes and agendas for meetings.
  • Maintains and initiates College communications with faculty, staff, students, and all relevant audiences on and off campus; administers social media for the College; manages and helps develop the College’s website and marketing/promotional materials.

Education of Senior Administrative Assistant to the Dean
  • HS Diploma required
  • Preferred:  Associate's or Bachelor's Degree

Experience of Senior Administrative Assistant to the Dean
  • Four years of clerical, administrative, and/or secretarial work experience
  • Experience in higher education is preferred

  • Experience using Microsoft Office, virtual meeting platforms (Zoom, WebEx, Teams), Brightspace or other learning management systems, and cloud-based storage systems.
