Job Summary

The Department of Chemistry is seeking a highly motivated person to join our team as a Senior Administrative Assistant.  This position offers opportunities for growth and learning in several administrative functions and computer skills. This position will support both the Amy Facility for Chemical Instrumentation and Department of Chemistry procurement operations.  


Candidates for this position within the Amy Facility will provide administrative support for the facility director and other professionals. This position manages data from our web-based ticketing system and generates custom reports, monitors online-requests daily and performs monthly billing operations, maintains / develops web pages and promotional materials, along with general clerical and office management needs of the Amy Facility.  


In addition, this position provides administrative support to the Chemistry Procurement center manager by reviewing daily / weekly procurement reports for situations requiring additional action and addressing issues using independent judgment. During times of high order volume or staff absences, this position will process and receive orders as back up for procurement staff.   


The responsibilities in both operations requires judgment to address unique situations involving sensitive information, computer skills to maintain database and records as well as creating searches / reports to address management queries, excellent communication skills, attention to detail, and an emphasis on customer focus.  The ideal candidate would work under minimal hourly supervision so must have superior time management skills to balance the demands of the distinctly different areas of operation.

 


What We're Looking For:

Education and Experience:

  • High School Degree or High School Equivalency (HSE)
  • Three (3) years of experience in an administrative support role

 

Skills Needed:

  • Excellent verbal and written communication skills
  • Strong organizational and time management skills and attention to detail
  • Drafting, proofreading, and editing skills
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to:
    • handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
    • collaborate and communicate with individuals at all levels within and external to the university to support department needs
    • interpret policies and procedures to proactively resolve issues or improve processes
    • identify problems and implement or recommend solutions

 

Preferred Experience:

  • Experience in computer programming
  • Experience with:
    • pivot tables
    • webpage design
    • Access of Sequel database design/query
