Senior Administrative Assistant

Job Summary

The Senior Administrative Assistant will provide high-level administrative support for the Faculty Recruitment, Concierge, and Faculty Success areas for the Office of Academic Affairs within the College of Engineering. The administrative assistant will independently perform non-routine administrative functions, exercising discretion, coordinating and supporting events, conducting searches for information, preparing reports, handling special projects, and preparing various correspondence,  promotional materials, and presentations.

Duties and Responsibilities

External Awards and Recognition

  • Provide administrative support for the launch of Elements:
  • Input data from faculty CVs
  • Validate faculty publications
  • In steady state, create faculty profiles for new faculty
  • Collect award information and prepare materials for the annual External Awards program
  • Communicate with schools monthly to collect recent awards information

Faculty Success

  • Provide administrative support for events such as Trailblazers in Engineering, Celebrating Our Associate Professors, Purdue Engineering Distinguished Lectures, Purdue Engineering Frontiers Lectures, Gilbreth Celebration, Faculty Excellence Awards, and others.
  • Provide administrative support for faculty success programs including workshops, onboarding, and Faculty Affairs Committee meetings
  • Maintain committee lists

Faculty Recruitment and Concierge

  • Collect new faculty information and prepare materials for the annual new faculty video
  • Other duties as required

 

 

Required:

  • High school diploma/GED
  • Three (3) years of experience in an administrative support role.
  • Excellent verbal and written communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
