Job Description

The senior administrative assistant is an integral member of the Department of Management who performs customer service, clerical, and administrative duties according to established policies and procedures. This role requires professional interaction with both internal and external clients. The successful candidate will provide support for and work collaboratively with the department chair and staff; be a solution-focused team member able to work independently in a fast-paced office; ensure a flexible and positive student-centered environment. The Department of Management is a visible, energetic, and active department that is among the largest academic departments at FHSU. This position reports directly to the department chair.

Minimum Qualifications: High School diploma or GED equivalency and one year of office experience or one year of post-secondary education.

Preferred Qualifications:

  • Bachelor’s degree
  • Two years of office experience
  • Excellent customer service skills
  • Strong written and oral communication skills
  • Well-organized and detail-oriented
  • Supervisory experience
  • Demonstrated ability to use and be proficient with Microsoft Office suite (Outlook, Word, Excel, Access, PowerPoint)

Start Date: Start date will be determined after acceptance of an offer and background check clearance. Preferred start date is by January 17, 2022 or as negotiated.

Salary: $13.98 per hour plus benefit package

Responsibilities:

  • Work proficiently and independently in a busy team environment.
  • Provide excellent customer service to students, faculty, staff, and external audiences.
  • Supervise and train student employees, including scheduling, daily assignments, and job performance feedback.
  • Coordinate office coverage during campus business hours.
  • Schedule calendar events, building spaces, and office trainings.
  • Maintain existing website and social media sites.
  • Monitor deadlines associated with department projects.
  • Assist in preparing written correspondences, agendas, and other materials.
  • Assist in the development and submission of course schedules and contracts.
  • Work with University Relations and Marketing and Print Shop in the development of promotional, and marketing materials.
  • Prepare department deposits and reconcile daily activities, including donations and event registrations.
  • Assist in the processing of student payroll.
  • Prepare budgets and maintain budgetary accounts according to university policies and procedures. Reconcile the department’s financial transactions and prepare purchase requisitions. 
  • Prepare travel authorizations and travel payment vouchers; assist in coordinating travel arrangements.
  • Review purchase orders, vouchers, bills, and forms to approve merchandise and/or reimbursements or to make payment for goods and services.
  • Become proficient in and routinely use relevant Workday functions and tasks.
  • Schedule and participate events that, on rare occasions, may include Saturday or early evening participation.
  • Other responsibilities as assigned by the chair.
