Job Summary: 

Under general supervision and administrative support to the Executive Director of the Emergency Department. Provides administrative support in Emergency Administration, performing general clerical and administrative duties which may include responsibility for specific business activities of the office such as human resources, budget and finance, supplies and inventory, etc.. Applies a detailed knowledge of the areas of assigned responsibility, and a general knowledge of the department functions and its interrelation with the larger Health System organization. 

Ensures the timely completion of work assignments in accord with established time-lines. Screens and prioritizes calls and appointments; makes appointments for manager and staff. Routes inquiries to other levels of the organization as appropriate. 

Processes Human Resources and Payroll transactions and maintains department personnel and payroll files. Prepares Personnel Action Forms for hires, transfers, fund changes, terminations, etc. Types job descriptions, performance appraisals. Administers the payroll, collecting, recording and reporting time, reviewing payments made. Applies knowledge of human resource and payroll policies and procedures to ensure accuracy of actions processed. Answers individual inquiries regarding appropriateness of actions; researches and consults with professional staff to resolve problems. 

As the primary SDAN, maintains filing system and personnel records for the office and hospital surveys. Prepares periodic, recurring reports from the file and data-base. At the direction of the Manager researches, gathers, sorts compiles and organizes information from the files, from other departments and offices, from outside agencies, etc., for special reports and information requests.

Educational Requirements:

High School education with courses in business, accounting, computer operation & applications, correspondence or a comparable level of education, training and experience.

Experience:

• One to two years progressively responsible office and administrative experience. 

• Demonstrated ability to compose simple business letters. 

• Ability to type proficiently (50-60 WPM). Ability to edit material and ensure correct punctuation, spelling and grammar. Ability to perform simple mathematical calculations.

• Must possess a minimum computer competency comprised of a working knowledge of Windows or a comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of word processing , spreadsheets, presentation development, E-mail browsers and on-line reporting.

• Knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter-relationship with the larger Cedars-Sinai Health System, and the ability to apply the knowledge to the work of the office.

• Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.

• Ability to interact effectively with Directors, Managers, internal staff, patients and representatives of public agencies and businesses.

Physical Demands:

Physical Ability and perceptive acuity to satisfactorily perform job duties.
