Job Summary

Ensures the safety of staff, visitors, art collections, and physical assets at the Harvard Art Museums. Mitigates risk hazards and acts as a liaison between various art museums and non-art museums entities in addressing emergency and routine situations. Coordinates day-to-day security operations at Harvard Art Museums, such as ensuring adequate staffing levels, post coverage, emergency response, special events, and VIP, and school group visits. May oversee art counts and audits, contractor escorts, loading dock functions as well as address issues related to visitors and staff.


Position Description

Duties and Responsibilities:

  • Provides day-to-day supervision of security staff by assuming responsibility for such tasks as assigning work schedules, distributing and reviewing work, providing orientation and ongoing training for employees. Plans and prioritizes the daily workflow and may perform clerical and/or technical processing duties of a complex nature, such as payroll and time keeping.
  • Deploys resources in a manner that optimizes staff resources while minimizing costs.
  • Assists the Director in the coordination of operations, through the direct supervision of the security staff.
  • Addresses security staff performance issues as needed to maintain operational effectiveness. Refers performance issues to Director of Safety and Security.
  • Responds to emergencies such as medical, fire and life safety alarm activations, water detection activations, elevator entrapments.
  • Documents incidents according to emergency reporting protocol and makes notifications to other HAM departments and Harvard University as necessary.
  • Responsible for ensuring that all security monthly tests are conducted, including fire extinguishers; duress alarm; door alarms, elevators emergency intercom.
  • Coordinates with Campus Police during duress alarm test.
  • Supervises and serves as the security point person for events that take place during Security Manager’s scheduled hours. Engages with Visitor Services and other museums staff as needed to ensure smooth operations.
  • Responsible for supervising and documenting all security tours during scheduled hours.
  • Fills in as Security Control Center Operator as needed during regularly scheduled hours, covering breaks, emergencies, etc.
  • Participates in the implementation of policies, and in the development of procedures and workflow governing the work of the Security Department.
  • Assists in designing, developing and implementing new methods to improve the security of Harvard Art Museums and improve the visitor experience.
  • Continues to develop own skill sets to be able to plan for and respond to a wide variety of emergency and routine challenges and situations
  • Uses Microsoft Office programs to compose related correspondence, memoranda or other relevant department communications, and for the creation and maintenance of statistical databases for information management and other tasks.
  • Reviews video surveillance systems, provides video reports to accompany investigations, inputs access control system directives, and maintains art protection system databases.
  • May assist with project planning and implementation involving other work units.
  • May assist with new hire interviews and training
  • Maintains a professional appearance.
  • Prioritizes customer service approach with visitors, guests, and museums colleagues.

Basic Qualifications

BA/BS or equivalent related work experience. Minimum five years of progressively responsible security or directly-related other experience, which includes supervisory experience.  Experience in overseeing complex security and fire/life safety systems.  Multi-shift experience.  Ability to patrol a multi-story museum. Ability to lift and use a fire extinguisher.


Additional Qualifications and Skills

Some college education is preferred. Experience working in cultural institutions is highly desirable (art museums preferred).  Demonstrated advanced working knowledge of specialized security systems, record management, and security protocols.  Strong analytical and communication skills, both oral and written. Experience in customer-facing roles is highly desirable. Supervisory or team leader experience is a plus. Must be self-motivated and perform efficiently with minimal or no direct supervision; possess initiative, decisiveness, and sound judgment to make time-sensitive decisions. Demonstrated computer skills and experience with email and internet use.  Demonstrated proficiency in word processing, spreadsheet, and database software packages. (Microsoft Office preferred.)  Training in CPR and First Aid is highly desirable (or the ability to be trained.)


Physical Requirements

Ability to use stairs to access multi-story buildings. Must be able to see clearly in various lighting conditions. Must be able to communicate clearly via speech and hearing, with or without corrective devices. This position requires the use of a radio for two-way communication and might require the use of an earpiece.

The work schedule is determined by the needs of the museums and will include evening or weekend shifts.
