Job Description

Works under the supervision of Sr. VA School Certifying Official in the Veteran Services section of the Pat Tillman Veterans Center. Provides customer service concerning VA educational benefits to the university community including current and prospective veteran students, dependents, faculty and staff.  Performs a variety of administrative, skilled or technical work of a specialized nature and/or provides first level supervision of office staff.

Essential Duties

  • Acts as liaison between the student and the U.S. Department of Veterans Affairs with regard to VA educational benefits.
  • Serves as one of the certifying officials using PeopleSoft, Salesforce, DARS and VAOnce to process and transmit enrollment information for veteran students to the Veterans Affairs Regional Processing Office.
  • Accurately processes high volumes of daily VA enrollment certifications to maintain the VA’s timing and compliance standards.
  • Maintains and generates office reports and statistics.
  • Provides direct hiring, training and the supervision of up to 12 VA work-study students.
  • Utilizes VA policies, office/ASU policies and procedures and FERPA guidelines in responding verbally or in writing to inquiries from students regarding their VA benefits.
  • Recommends, coordinates and implements new or revised department policies and procedures affecting assigned functions; updates policy/procedure manual.
  • Cross-trains in diverse activities including areas such as customer service, e-mail, telephone, academic transactions and data entry.
  • Coordinates with Supervisor and Assistant Director to meet variable peak processing demands.
  • Receives membership and training opportunities with professional organizations that exist for veteran certifying officials.
  • Travels to other campuses, events and conferences upon occasion.
  • Participates in special projects and other duties, as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Demonstrated knowledge of military service and related issues; VA education benefit policies and practices.
  • Experience with FERPA
  • Demonstrated knowledge of institutions of higher learning and their policies and procedures.
  • Experience in customer service.
  • Experience retrieving and updating information in student information systems (PeopleSoft, VAOnce).
  • Experience with Microsoft Office applications (Word, Excel and Outlook).
  • Experience in degree audit reporting (DARS).
  • Evidence of effective communication skills.
  • Experience with the principles and practices of higher education.

Working Environment

  • Communicate to perform essential duties. 
  • Use computer to research issues, enter data and create documentation.
  • Create reports and analyze information to resolve issues. 
  • Answer multi-line telephones and direct calls. Use associated computer/technology/peripherals. 
  • Daily use of PeopleSoft, Internet and Microsoft Office applications; Word, Excel and Outlook. 
  • In-state and out-of-state travel possible in a motor vehicle or as a passenger on a commercial carrier. 
  • Lift up to 25 pounds.
