Job Description

ASU Library seeks a collaborative, service-oriented Resource Sharing Coordinator to join the Interlibrary Loan Borrowing team, located on the Tempe campus. Under the direction of the ILL Borrowing Supervisor, the Borrowing Coordinator will coordinate and participate in interlibrary loan activities, including document delivery, lending, and borrowing functions. Using a team-based approach to problem-solving, the Borrowing Coordinator actively contributes to effective workflow changes and improved cross-library communication practices.

Essential Duties

  • Provides interlibrary borrowing, lending, and document delivery services to students, faculty, and staff, using library and resource sharing technology platforms and tools. 
  • Monitors and responds to interlibrary borrowing, lending, and document delivery requests using various ASU Library systems, including: verifying lending and borrowing requests using resource sharing technology platforms, consulting bibliographic databases as needed; processing and/or scanning incoming and outgoing materials using Library technology and systems, applying accessibility features as needed; and conducting related bibliographic searching on the library services platform and external databases. 
  • Monitors the status of all sent requests; processes unfilled and conditionals; searches in detail to find alternate ways to obtain items; independently resolves complex requests using advanced verification techniques and resources; processes international and other non-standard requests, including full text databases and commercial vendors. 
  • Communicates with staff, patrons, and other libraries regarding request status; provides research support to patrons and library staff requesting materials, including verification of citation information and other reference services; advises library users on ASU Library policies; screens or handles complaints, referring complex issues as appropriate. 
  • Performs billing and invoicing functions related to ILL transactions, keeping accurate records of transactions; generates and maintains queries and reports for departmental statistics, including copyright compliance, borrowing, document delivery, and lending statistics. 
  • Requests resends and shelf checks to be performed by students and other departments as needed; tracks “Not Received” packages using FedEx software, sometimes communicating directly with FedEx; follows up on resends, shelf checks, and package tracking by communicating the results as appropriate.
  • Makes independent decisions, solves problems, identifies patterns and issues and communicates them to the department; provides feedback, and supervises the unit in the absence of, or in collaboration with, other staff members.

Minimum Qualifications

Bachelors degree AND four (4) years prior library experience OR, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved. 


Desired Qualifications

  • Evidence of effective communication skills.
  • Experience in analytical and organizational skills.
  • Demonstrated knowledge of library practices, policies and procedures. 
  • Demonstrated knowledge of Interlibrary Loan policies and standards.
  • Experience using computer hardware (scanners) and software (Microsoft Office applications) 
  • Experience with online library systems, such as ILLiad, OCLC, ExLibris Alma/Primo, and Odyssey.
  • Demonstrated knowledge of Library of Congress Classification System and library bibliographic records.
  • Experience maintaining statistical reports and producing databases, queries, reports and data tables.
  • Demonstrated working knowledge of a second language.
  • Evidence of an Arizona driver’s license.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, standing and walking Frequent physical demands include stooping, bending, reaching, lifting up to 25 pounds and pushing objects of varying weights up to 100 pounds
  • Exposure to dust and other airborne materials
  • Regularly required to access books and other physical items from shelves up to 7 feet in height requiring climbing library ladders
  • May be required to travel between library locations to deliver and/or retrieve materials using an electric powered cart.
  • May oversee assignments to student workers to ensure timely completion and/or to provide guidance or assistance to questions

This position may be eligible for a flexible work arrangement.
