The position of Residence Life Administrator is a full-time position, live-in position on FTC for 6months. The postholder will be provided with an en-suite studio apartment to reside in, within one of the residence halls utilised by NYU London, inclusive of all utilities and within zone 1 of London’s public transport system. The majority of working hours will be spent across NYU London’s campus buildings with a focus on Byron Court and Guilford House, which are operated by NYU London. The postholders’ primary focus is to support residents and provide them with a living environment conducive to their academic and personal growth, across two busy semesters and during Summer and January term (J-term) programmes.

 

The postholder will work as part of the Residential Life team to provide support and guidance for students; ensure compliance with University policies and procedures; maintain building safety and security; engage in customer service-related activities; supervise up to 2 student peer mentors; signposting students to other key resources; and other administrative tasks such as ordering supplies, checking deliveries, securely storing and monitoring stocks, checking and replenishing supplies in student apartments, providing and preparing keys for student rooms.

 

Responsibilities are carried out mainly through office hours and activities across NYU London’s campus buildings including weekly meetings, check in and checkout duties, welcome activities and campus events. The postholder will be on call outside of business hours on a rotational basis shared with colleagues, and will respond to urgent issues that arise, supported by the senior members of the team and department. The position requires a positive service orientation while performing all duties.

Principal Accountabilities:

 

50% - On a daily basis, across NYU London’s residences, administer and deliver core processes and tasks such as, but not limited to, check-in/opening day, room preparations, support students with roommate disputes and room changes, receive and report complaints and concerns raised by students and respond in the first instance, update building access systems, room key management and guest passes, stock audits and placing orders, handle enquiries whether received via email or in person within shared offices across NYU London’s campus buildings) and provide information and support for students. Also frequently collaborate with finance & operations, facilities, housekeeping, security teams and other departments, and ensure a strong team presence at Byron Court and/or Guilford House residences. Attend, and actively contribute towards, team meetings.

20%- Foster a welcoming environment through the delivery of information, advice and support to residents. Supervise the work of up to two student Peer Mentors every semester, helping them to develop a comprehensive programme of activities for students across NYU London residences to build community, and gathering feedback from students following events. Collaborate with other professional staff to enrich the residential experience of students, delivering initiatives focused on the key themes of Community Building, Sustainability, and Well-Being.

15%- Share responsibility as part of the residential team for providing NYU London residents with support should any medical, mental health, student misconduct, policy violations, facilities concerns and/or other serious issues arise.

  • Check in with students in person, in their residence, when requested.
  • Be on call on a rotational basis to support to support students with emergencies, seeking advice from departmental leaders in assessing the nature of problems, ensuring any urgent actions which are required are taken, or students are supported with regular outreach until any pending resolutions can be concluded.
  • Write incident reports.

 

 

10%- Check in with students in person, in their residence, when requested. Share responsibility as part of the residential team for providing NYU London residents with support should any medical, mental health, student misconduct, facilities concerns, policy violations, and/or other serious issues arise, during office hours. When issues arise that require immediate support, work closely with departmental leaders in assessing the nature of problems, ensure any urgent actions which are required are taken and support sought from colleagues from other teams whenever appropriate, and details documented. Provide support and reassurance with any large-scale community concerns that may impact residents, along with all other colleagues in the Student Affairs department.

5%- Contribute to initiatives including as training, workshops and events that help build a culture that respects and embraces diversity, inclusion, belonging, equity and accessibility via participation in site committees.

 



Required Education

  • Educated to degree level, or an equivalent qualification, or relevant working experience.

Required Experience

  • Excellent knowledge of London and the local emergency support services available.
  • Experience of working in a busy office or customer-focused environment.

Required Knowledge, Skills, and Abilities

  • Clear understanding of the challenges young adults may face at University, and of the potential difficulties that might arise while living abroad.
  • Passionate about providing accurate information, and caring support to people while they may be feeling vulnerable.
  • Enjoys, and thrives on, teamwork; able to nurture successful relationships and partnerships with colleagues at all levels.
  • Excellent interpersonal and written communication skills; the ability to converse with a diverse range of people
  • Punctual, responsible, self-motivated and flexible.
  • Computer literate.
  • Demonstrable commitment to delivering an excellent service.

Preferred Experience, Skills and Abilities

  • A demonstrated commitment to promoting a diverse and welcoming environment, as evidenced by prior successful and innovative measures.
  • Personal experience of studying or living abroad.
  • Working experience within the student services or residential education sector.
  • Knowledge of the American higher education system.
  • Experience of being on call outside of working hours, and/or being responsible for handling difficult or urgent calls from customers and resolving them professionally and expediently (with support wherever needed).


Candidates must have the unrestricted right to work and live in the UK prior to appointment.
