Job Description

The primary role of the Research Advancement (RA) staff is to support one or more functional areas within a College/School/Department by providing direct support to research investigators in the area of proposal preparation. Colleges, schools and departments with large research portfolios employ RA staff directly; while Colleges, schools, and departments with smaller research portfolios are supported by the RA staff employed and housed within the Office of Knowledge Enterprise Development Research Operations.Research Advancement staff also serve as liaisons across campus between colleges, schools, departments and research investigators in their interactions with the Office of Research and Sponsored Project Administration (ORSPA). The primary role of ORSPA is representation of ASU as an institution with external sponsors. ORSPA is responsible for ensuring all externally sponsored research activities are compliant with federal, sponsor, and ASU guidelines and policies. ORSPA staff provides expert guidance to the Research Advancement staff in fulfilling their duties relating to federal, sponsor and ASU guidelines and policies. To this end, ORSPA and Research Advancement staff forms a partnership in support of the entire research enterprise at ASU.

Salary Range

$20.19 - $25.00 per hour; DOE


Essential Duties

Duties for all RA staff regardless of where they are housed include, but are not limited to:

  • Performing funding searches to help identify opportunities
  • Reviewing funding announcements and providing guidance on eligibility and sponsor requirements
  • Contacting sponsors for clarification of application guidelines
  • Providing assistance in drafting budget justifications in conjunction with PI/Unit
  • Assisting sub-recipients with questions related to completing sub-recipient commitment forms
  • Preparing sponsor budget forms or creating acceptable budget formats
  • Assisting and completing other sponsor required forms and review for compliance (current and pending support, biosketches)
  • Completing administrative information according to sponsor guidelines
  • Completing and routing all internal forms (300s) using information provided by PI/Unit
  • Verifying cost sharing required by sponsor
  • Uploading files for sponsors requiring electronic submission
  • Reviewing proposals against guidelines before sending to the Office of Research and Sponsored Project Administration
  • Submitting applications to Office of Research and Sponsored Project Administration for review, signature, and transmittal to sponsor
  • Assisting with post submission action items requested by the sponsor such as Just In Time requests, revised budgets, scope of work, additional certifications, etc.
  • Assisting in all areas of award management, which may include but are not limited to: Guidance and assistance in preparing administrative post award management including At-Risks, Pre-Award Costs, re-budgets, No Cost Extensions, and all other OAF actions: Account monitoring and reconciling, Expense Transfers, Effort Reporting, Resource to research investigators and departmental business staff on Sponsor policies and regulations regarding the administration of award funds, Monitor compliance issues and assist in resolution, Account close out
  • Acting as administrative resource to ASU research investigators, provides assistance, guidance and counsel during development, pre-submission administrative review, management, authorization and transmittal of grant and contract proposals to federal, state, and private funding agencies to verify and ensure ongoing compliance with all applicable regulatory and financial compliance requirements.
  • In conjunction with and in support of ORSPA, provides assistance and support securing additional information during negotiations as necessary; reads award documents to determine restrictions and other pertinent information
  • Assisting ASU research investigators with renewals and periodic reports for grant agencies
  • Working in conjunction with ORSPA and ASU research investigator to ensure timely and accurate post-award accounting of grants and contracts; reviews reconciliation of accounts for compliance of charges in accordance with sponsoring agency/contract conditions and requirements
  • Managing awarded projects in accordance with University and sponsor regulations; prepares standard and non-standard accounting reports for the ASU research investigators.
  • Acts administrative resource to ASU research investigators and ORSPA staff to resolve problems and correct errors in fund management to ensure timely collection of revenue through accurate presentation of invoices
  • Maintaining all applicable project records and files; decides proper handling of financial transactions; approves transactions within designated limits.

Minimum Qualifications

Bachelor's degree in a related field. One year directly related experience; OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.


Desired Qualifications

  • Demonstrated knowledge of research administration and/or project coordination in a higher education or equivalent setting
  • Experience in effective and professional communications applied in person, in writing, by phone, via video chat and messaging apps.
  • Experience in preparing and reviewing detailed documents, budgets, proposals, reports and/or related materials with great attention to detail.
  • Experience in prioritizing multiple projects while producing accurate output and meeting deadlines for multiple projects.
  • Experience in offering a high level of customer service and ability to understand user needs, requirements, and requests.
  • Experience in problem solving, critical thinking, taking initiative, organization, and time management.
  • Experience in establishing and maintaining effective professional working relationships. Ability to work independently and collaboratively as part of a team to achieve goals.
  • Experience in the Microsoft Office Suite and Adobe Acrobat Pro
  • Experience working effectively in a hybrid and/or remote working environment.

Working Environment

  • Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds.
  • Ability to clearly communicate to perform essential duties.
  • Ability to work effectively within a complex structured team.
  • Works under supervision; receives detailed instructions and works from general instructions on standard job duties. Regular review of completed task may be required.
