Job Summary

This position will report to the Assistant Director of Finance and Administration. Responsible for a complex portfolio of approximately 12 Harvard College Observatory Principal Investigators, including some with appointments in multiple departments and institutions.


Position Description

  • Manage all aspects of pre- and post-award grants management.
  • Liaise with external sponsors, FAS Research Administration Services (RAS), Harvard's Office for Sponsored Programs, and Harvard's Office for Technology Development on matters involving federal and non-federal funding. Work closely with financial and sponsored research staff at the Smithsonian Astrophysical Observatory.
  • Provide PI's and Division Administrators with timely information and advice on all aspects of proposal preparation and submissions. Interpret complex regulations and guidelines from myriad sponsored and non-sponsored funding sources. Interpret policies, procedures, rules and regulations for PIs and administrators.
  • Review funding opportunities and program announcements.
  • Responsible for the timely preparation and submission of renewals, resubmissions and reports; approve expenditures and close out accounts at the department level.
  • Responsible for monitoring sub-recipient awards, quarterly effort reporting, monthly accounts reconciliation, and other post-award management.
  • Assist in training financial and administrative staff responsible for processing transactions on sponsored awards.
  • Advise faculty on complex procurements of major sponsored purchases including long-term capital expenditures.
  • Work with Assistant Director and PIs to manage complex fabrication projects.
  • Provide complex financial analyses for Associate Director and Assistant Director.
  • Work on special projects as necessary.

Basic Qualifications

3+ years sponsored pre- and post-award experience in academic, healthcare, research, or non-profit setting.


Additional Qualifications and Skills

Bachelor's Degree and five years directly related work experience in an academic environment are strongly preferred. Strong written and oral communication skills are essential as is the ability to handle confidential information with discretion. Successful candidate must have a high degree of attention to detail, be able to manage multiple tasks and deadlines, shifting priorities, and interact effectively with a diverse constituency. Strong problem-solving skills, attention to detail and accuracy, and commitment to customer service are essential. Computer competency, including demonstrated proficiency with Excel, is required. Experience with Oracle financial systems is preferred.
