Summary

Provide support to Clusters and Heart Center Central Administration by facilitating pre- and post-award processes. This includes, budget development, preparation, negotiation, and submission of industry sponsored contract proposals; departmental effort management; basic reconciliation and ad hoc transactional needs. 

Work Performed

Pre-Award – 80%
Facilitate all departmental contracts and/or amendments through full execution and act as departmental liaison for central university departments.  This process includes:

  • Managing the departmental central inbox and providing consistent communication with study teams, leadership, sponsors and central offices (ORC, DOCR, TBS).
  • Processing new Statements of Intent (SOI) and creating/maintaining the associated startup files
  • Requesting, communicating, and managing WBSEs and master data systems and tools.
  • Monitoring and tracking startup timelines and providing updates as needed to associated faculty and staff
  • Completing and submitting sponsored projects through the Duke SPS system to the Office of Research Contracts (ORC) to ensure compliance with University procedures and institutional signatures
  • Verifying all financial information to ensure application of the appropriate overhead rate for the project
  • Providing technical and administrative assistance during the negotiations, creation, and administration of industry contracts. 
  • Completing and managing the pre-award process for Continuing Medical Education (CME) program. 

Post-Award– 10%

  • Process effort allocation changes appropriately and timely for all HC staff compensated from research projects.   
  • Support the Revenue Management process for industry funded projects,
  • Process JVs for internal CRU Fees or other such transactions as needed. 
  • Assist with required close out transactions and activities
  • Assist as needed with check processing, PO setup, and supply orders.

Other – 10%

  • Assist with ad hoc tasks and/or special projects as needed to support the department
  • Obtain and maintain RAA certification and other required trainings as needed

Minimum Qualifications

Education

Work requires communications, analytical and organizational skills generally acquired through completion of an Associate's degree program. Training: May be required to take FasTracks in areas of specific assigned duties

Experience

Work generally requires two years of relevant experience to obtain OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE office organization, communications, and administrative skills. A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and experience requirement.
