Summary

The Research Administration Associate will provide Grants Administration support in the Department of Pediatrics, Endocrine Division. Primary responsibilities will include the pre-award and post-award financial management activities of grants, managing the full award life cycle, from application to award closeout. Responsibilities will include cost assessment, budget development, financial set-up, resource allocation, and preparation of quarterly reports. Will also serve as a source of expertise for federal, state, industry, and private foundation application and award policies. Position will focus on development of knowledge and expertise in the role to become a content expert and be able to independently manage award cycle.

 

Employees with CRA certification are eligible for certification pay.

 

This position is eligible for a hybrid work schedule.


Job Duties
  • Manages data of active, pending, and closed grants for the Pediatrics Center for Research Advancement, supporting one ore more Divisions: number of submissions, number of awards, faculty effort and other statistics related to grant reporting.
  • Provides budget input and guidance to principal investigators when drafting budget justifications, creates the budget spreadsheets, and completes other budget forms for submission and reporting.
  • Negotiates industry-sponsored contracts, including clinical trial agreements, sponsored research agreements, and material transfer agreements.
  • Communicates with BCM Accounting, Grants & Contracts, and collaborating institutions to ensure sub-awards and independent consultant agreements are established and executed in a timely manner
  • Manages Cost/Effort allocations in PEPT/SAP for research faculty, employees, and learners.
  • Manages the Time/Effort certification process in the BCM Effort Reporting System.
  • Assists and completes the BCM annual budget for assigned division’s research activities and programs.  Includes budget entries related to research personnel PI’s and staff, distribution (PEPT), F&A budget calculations, IDC, and other related budget entries and calculations.
  • Ensures compliance with all federal, sponsor, and institutional policies and guidelines and serves as a liaison between faculty, employees, learners, Baylor College of Medicine, and sponsors.
  • Works independently, with moderate supervision, supporting (10-12) active researchers in Pediatrics Endorcine. Primary focus will include Basic Science and Human Subject Research, with a significant amount of awards that are federally funded. Management of the Division of Pediatric Endocrine research portfolio. (Awards range from ($50K-$1M/ea).
  • Manages awards and sub-awards from multiple sponsors and outside institutions: industry, clinical, federal, and foundation that includes, but not limited to CDC & NIH.
  • Reports through the Pediatrics Center for Research Advancement and Division leadership for key deliverables.

Minimum Qualifications
  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications
  • Experience in grant application development, budgeting, and/or grant financial management. 
  • Has the ability to understand and manage the complexities of research grants, that includes issues related to informed consent, access to data, and conflict of interest. 
  • Strong attention to detail and data quality.
  • Experience of contracts and subcontracts.
  • Able to independently manage award cycle.
