Title: Research Administration Associate

Summary
The Research Administration Associate will work on pre-award and/or post award activities and program activities for the Department of Medicine. This includes planning, execution, coordination and management of assigned grant related submissions to ensure application are complete and accurate for final submission under supervision of the Research Lead and Research Director. The Research Administration Associate is expected to work independently but other team members are available as resources as needed.
This role has the future potential for a hybrid work schedule.
Employees with CRA certification are eligible for certification pay.
Job Duties
Pre-Award
- Assist investigators to prepare federal, state and industry grants, contracts & subcontract submissions internally and externally. These submission can be as small as $50K/year to >$500K a year.
- Serve as liaison between PI and SPO to review/correct applications and create/execute subaward agreements.
- Gather and create documents necessary for grant submission including budgets, budget justification, other support, statement of work, etc and communicate timelines to investigator to ensure applications are submitted on time and in compliance with all guidelines to central office for review and approval.
- Maintain records for each grant or account, including applications, communication with sponsor, etc.
- Review and approve grant applications in the College's electronic Biomedical Research and Assurance Information Network (BRAIN).
- Manage RPPR submissions and other annual reports, Just in Time submissions.
- Coordinate additional projects and programs related to the grant and Principal Investigator.
- Continuously improves on processes and systems that may require understanding of a broader set of issues or other job areas.
Post-Award
- Submit invoices to sponsors when applicable.
- Validate incoming subaward invoice with investigators when applicable.
- Work with section administrator, Grants & Contracts and Accounting to ensure revenue is routed to appropriate accounts.
- Work with investigators to confirm sourcing of research staff to appropriate accounts monthly.
- Prepare financial reports to track research mission financial for monthly/quarterly/annual review upon request.
- Track grant expenses and ensure appropriate use of funds.
Minimum Qualifications
- Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
- Two years of relevant experience.
Preferred Qualifications
- Experience multi-tasking and tracking of multiple contract and subcontract agreement.
- Should be well organized, independent worker, team player, and detailed oriented.
- Intermediate experience working in Excel.
- Great written communication skills.
