Major Duties

Under general supervision, the Records and Registration Representative performs a wide range of foundational support functions related to the adjustment and retention of academic records, student registration, and transcript processing. The incumbent provides general assistance related to academic, registration, and admissions policies.

  • Works with applicants, current students, alumni and general inquiries from the public via any combination of email, phone, in-person, tele-conferencing (Zoom, etc.), and/or online chat technology/third party technology (ChatBot, CloudCard, etc.) as necessary.
  • Produces academic transcripts, degree progress reports, enrollment verifications; processes demographic information changes and other routine updates to academic records as deemed necessary; fulfills verification requests initiated by students and/or lenders.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to four (4) years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience on a year for year basis.

Knowledge, Skills, & Abilities

  • Thorough knowledge of correct English grammar, spelling, and punctuation; office methods, procedures, and practices; and university infrastructure, policies, and procedures. Working knowledge of budget policies and procedures. Knowledge of the basic structure of the University, as well as demonstrate knowledge in policy and procedures germane to applicants and current/former students.
  • Strong interpersonal skills and the ability to adequately comprehend needs and convey information through both oral, visual and written electronic communication. Ability to: maintain professional relationships with the entirety of the campus community; present clear and concise information orally and in writing; demonstrate an awareness and appreciation of the cultural diversity of the University community; establish and maintain cooperative and effective relations with University employees, students and the public.
  • Ability and specialized skills to: coordinate many different administrative duties; interpret and apply a variety of complex policies and procedures; set deadlines, and priorities, and complete projects accordingly; draft and prepare memoranda and correspondence; keep moderately complex records and files; screen mail, telephone calls, and visitors.
  • Ability to maintain confidential files; lead or oversee the work of others; perform standard business math, such as calculating ratios and percentages, tracking financial data, and making simple projections; establish and maintain a cooperative working relationship; read and write at a level appropriate to the duties of the position. Must be computer literate (database, electronic mail, word-processing, and spreadsheet applications in a PC Windows environment); must possess working knowledge of computers and ability to learn student information systems.

Pay, Benefits, & Work Schedule

  • Classification: Administrative Support Coordinator / 1035  / 1
  • The anticipated HIRING RATE: $3505 per month, dependent upon qualifications and experience. The salary range for this classification is: $3505 - $5508 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
  • REG: This is a Regular position with a one-year probationary period.
