Recruitment Coordinator - Employment & Recruitment - Full Time 8 Hour Days (Non-Exempt) (Non-Union)

The Recruitment Coordinator supports the recruitment and onboarding process for new hires and transfers. The recruitment coordinator assists with meeting with new hires, employees and contractors regarding paperwork completion, file preparation, and badging. He/she is responsible for thorough communication of all pre-employment and with meeting the legal requirements under the federal, state and local legislative demands. Assists with entering information into HR related systems. He/she works collaboratively with members of the HR team as well as other departments to ensure proper onboarding. This person may also assist with tracking and posting of jobs and other projects and duties as assigned to support the HR/Recruitment team. Additionally, working collaboratively with the Human Resources Director, to maintain daily operations of the Human Resources Department.

Essential Duties:

  • Manage all approved requisitions ensuring that requisitions are: Housed in one centralized location. Manage requisitions in an orderly fashion. Completely filled out with all necessary information such as Job Title, Cost Center, Specific Hospital, Director/Manager, Shift, Exempt/Non-Exempt status, Job Code, Replacement Name etc… Assigned appropriate requisition number based on Applicant Tracking System auto generated number.
  • Maintains warm, courteous and professional behavior while acting as a resource to employees. In addition, maintains a cooperative demeanor with all corporate resources by developing a working relationship with these resources.
  • Ensures that TJC and other auditing requirements are met that are job specific.
  • Compiles report information, pulling necessary data from computer as requested.
  • Updates Job Postings, Job Boards and ensures open positions are posted to the Intranet.
  • Works with HR teams, IT and Education Departments on a monthly basis to provide new hire list for New Employee Orientation. Makes sure list is accurate and includes anyone that had not attended previous class. Tracks completion in WorkDay, HealthStream and SharePoint.
  • Responsible for Updating Position Control on weekly basis and running reports as necessary.
  • Assist Recruitment Manager with creating spreadsheets and or training modules as necessary
  • Posts all approved Requisitions in People Admin (applicant software) appropriately on a weekly basis.
  • Acts as back up for front desk when needed.
  • Thinks beyond task given thinking of ramifications or possible ways to streamline or enhance service or product delivered.
  • Thinks of creative ways to enhance HR operations and or the services provided to Keck Hospital of USC and USC Norris Cancer Hospital Employees and/or all customers in which we have contact.
  • Has knowledge of Union guidelines as it pertains to recruitment.
  • Notifies recruiters when positions have been assigned to them for recruitment purposes.
  • Ensures that the background check is performed and results received prior to employee beginning employment.
  • Facilitates resolution of questions and issues that arise from concerns or interest in any policy, procedure, program or benefit.
  • Supports and adheres to department/institute policies and standards.
  • Actively promotes a safe work environment.
  • Consistently demonstrates good health and safety habits, and proper body mechanics.
  • Demonstrates and promotes dependability through consistent attendance and punctuality.
  • Attends or completes required in service training classes prior to deadline including annual safety or any or-orientation requirements
  • Attends 80 percent of staff meetings; although meetings may be informal.
  • Emotional maturity and stability to carry out the duties of the position.
  • Assists in maintaining an atmosphere of cooperation with other departments and allied professionals.

Required Qualifications:

  • High school or equivalent
  • 1 year Human Resources and/or administrative support experience.
  • Proficient in MS Office, Outlook and HRMS System.
  • Proficient verbal and written communication skills.
  • Demonstrate excellent customer service behavior.
  • Capable of communicating with all levels of employee-administrative to staff. Critical thinking skills

Preferred Qualifications:

  • Bachelor's degree in Human Resources Management, Business Administration or related field.
  • 1 year Experience in a health care industry.
  • HR Certification

Required Licenses/Certifications:

  • Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The hourly rate range for this position is $22.00 - $34.18.
