Job Summary

Research Staff Services provides administrative support for the hiring, training and management of 200+ research staff, and assists 200+ faculty with their research staff needs. As part of the larger RSS team, the Recruiting Coordinator provides support a wide range of recruiting activities focused on attracting and hiring the highest quality candidates to support HBS faculty in their research. As part of the Research Staff Services team, the Coordinator works as part of a team to provide confidential administrative support ensuring the smooth operation of the activities of the RSS group.


Position Description

  • Manages all administrative work associated with the recruiting process for Research Associates (RAs), including verbal and written communication with candidates, scheduling and coordinating interviews, supporting recruiting efforts by the team, and the on boarding process for new RAs.
  • Posts job openings on applicant tracking system (Crimson Careers), maintains applicant status throughout the recruitment process and closes out requisitions when filled.
  • Drafts position descriptions that will attract the highest quality qualified candidates.
  • Works with the Recruiting Manager to identify and post to external websites and organizations to reach a broader candidate pool with specific specialized skillsets and backgrounds.
  • Promotes open positions by keeping external RA website up to date and maintaining social media outreach.
  • Plans and participates in spring and fall on campus recruiting events and interview days.
  • Reviews resumes and screens applicants for applicable backgrounds and skills.
  • Manages applicant flow, tracking and documenting where candidates are in the process; may check references.
  • Takes the lead in gathering and preparing of a variety of recruitment related RSS data.
  • Collaborates with all members of the RSS team on solving problems that arise with staffing research support for the faculty.
  • Provides assistance to the Associate Managing Director and RSS team on special projects related to areas of responsibility.
  • This role is responsible for other duties as assigned. 

Basic Qualifications

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of related experience required
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

Additional Qualifications and Skills

  • Strong client-facing experience and customer orientation is required.
  • A proven ability to work independently and as a team member; excellent written and verbal communication skills, as well as attention to detail required.
  • Proven judgement and discretion is critical for success in this role.
  • Bachelor’s degree preferred.
  • Experience and/or interest in recruiting strongly preferred.
  • Experience with Access, PeopleSoft and applicant tracking systems preferred.
  • Professionalism, experience with and commitment to providing excellent service both within a team and on an individual basis. Sound judgment and critical thinking abilities.
  • Excellent time management and organizational skills, including the ability to manage and prioritize multiple priorities.
  • Attention to detail and high standards for accuracy
  • An understanding of and sensitivity to confidential information.
  • Strong interpersonal skills, Ability to be flexible in a changing environment, and a high energy level.

Working Conditions

  • Overtime may be required during peak times

Additional Information

This position is approved for a 6-month term (with possibility of renewal/extension) which begins on the person's first day of employment.

This is a 40 hours/week, overtime-eligible position.

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 3 days per week. Specific days and schedule will be determined between you and your manager.

We may conduct candidate interviews virtually (phone and/or via Zoom) and/or in-person for this role.
