Job Summary
This position is primarily responsible for managing the full recruiting life cycle across a variety of open staff and administrator positions, helping managers find, hire, and onboard quality candidates, with a secondary role supporting the administrative duties associated with faculty and student employee onboarding. The position requires the ability to partner with hiring managers, have a full working knowledge of the recruitment function/process and operate independently with limited supervision. The position reports to the Director of Recruitment.

Staff & Administrator Recruitment


  • Work closely with managers to gain a comprehensive understanding of their unit's hiring needs and develop an appropriate recruitment strategy; conduct regular follow-up with managers to determine the effectiveness of the recruiting plan and quality of, and satisfaction with, the applicant pool

  • Coach managers on best practices for inclusive searches and the importance of conducting lawful interviews and candidate evaluations; advise on University recruitment processes and procedures

  • Update and maintain position postings within the applicant tracking system (ATS) and internal recruiting reports

  • Coordinate targeted advertising efforts to help generate a robust and diverse slate of qualified candidates for each search

  • Screen resumes/CVs and other application materials to develop a qualified candidate pool to present to managers and/or hiring committees for consideration

  • Schedule and conduct screening interviews; provide detailed summaries and recommendations to managers and/or hiring committees

  • Draft offer letters and coordinate with the hiring department for signature and distribution

  • Facilitate the onboarding process for new hires to include ordering/reviewing background checks, entering new employees into HRIS, drafting and distributing welcome emails and onboarding documents, coordinating the scheduling of new hire orientation, I-9 verification, and uploading/submitting necessary materials to the payroll department

  • Provide customer service to potential applicants, internal employees transferring, and students regarding any recruitment related questions or concerns

  • Liaise with various external vendors as needed (ATS, advertising partners, background check, etc.)

  • Manage and execute other special projects as assigned

Faculty & Student Recruitment

  • Post full-time faculty positions and confirm they are active in the applicant tracking system; liaise with the marketing & communications department to ensure positions are advertised on the University website; track applicant hiring stages and update applicant profiles as needed; remove positions when filled; release applicant profiles and materials to hiring committees.

  • Manage the onboarding process for new faculty hires to include ordering/reviewing background checks; liaising with department/College representatives to ensure all new hire paperwork is completed and submitted to HR; entering demographic and employment information into HRIS; preparing and distributing welcome emails to newly hired full-time faculty

  • Coordinate with the Center for Teaching & Learning so all newly hired faculty are invited to new faculty orientation; attend new faculty orientation to assist with questions

  • Onboard new student employees; verify student employment and Federal Work Study eligibility; complete I-9 verification for new student employees; enter necessary data into HRIS

  • Support and attend student job fairs and other student employment initiatives and programing

Work Environment
This position operates in a professional office environment. This position requires you to use standard office equipment such as personal computers, printers, etc.
Physical Demands
While performing the duties of this job, the employee is occasionally required to stand, move about, sit, to carry work and use controls, reach with hands and arms, climb stairs, and communicate.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:30am to 4:30pm.
Required Education and Experience

  • Bachelor's degree and 3-5 years of experience in recruitment or other human resource function; minimum of 2 years of experience in recruitment

  • Experience sourcing and screening applications, conducting interviews using various methods (phone, video, in-person), and evaluating candidates

  • Familiarity with, and experience using, applicant tracking systems

Preferred Education and Experience

  • Bachelor's degree in HR-related field

  • Experience working in a mission-driven higher education setting

In compliance with NYC's Pay Transparency Act, the annual salary for this position is $65,000. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.
This position may be relocated to any of St. John's University's physical locations at any time.
