JOB DESCRIPTION AND POSITION REQUIREMENTS:

Are you looking to join a committed, dynamic team working in a large and fast-paced organization? Do you have strong organizational skills, understand the importance of providing positive communication to others and like working with students? If so, we want to talk with you! Successful candidates will work closely with students, support a large team of academic advisers and model a committed work ethic. As an Office Assistant/Records Specialist, you will be responsible for providing excellent service by answering the general advising phone line, responding to general email inquiries, making outgoing phone calls for outreach campaigns including welcoming new students at World Campus, scheduling academic advising appointments, working with Excel spreadsheets to update student information, and serving as the point person for new and returning students starting their educational journey at World Campus. You will also provide administrative backup support to Administrative Assistants and Assistant Directors. Other duties and responsibilities required in the position are to prepare, process, update, and compile routine documents, records, and reports. Routine data entry, updating and maintaining files, degree check sheets and schedule change reports will also be required. The Office Assistant/Record Specialist will receive, deliver, process, and ensure confidentiality of sensitive records, information, and materials, which may include academic information.  

 

This is a 40-hour workweek, a Monday through Friday 8: 00 a.m.-5:00 p.m. schedule with a one-hour lunch break. This position is located in University Park, PA with a possibility of permanent remote work. Due to the COVID Pandemic, our staff are telecommuting until further notice.

Typical Education and Experience Requirements: 

Typically requires a High School diploma or higher plus two years of related experience, or an equivalent combination of education and experience. Bachelor’s degree preferred.  

 

Additional Preferred Education, Experience, or Certifications: 

Competencies critical to the success of this position include proficiency and comprehensive knowledge of customer service, excellent verbal and written communication skills for phone and email communication, a commitment to the team, follow-through, personal and team accountability, data-driven decision-making, and attention to detail. Comprehensive knowledge of technology including Zoom and other video meeting software, MS Word, Excel, PowerPoint, chat, database software, student records systems, and e-mail are also essential to success in the position.
