The Records Assessment Specialist will perform technical tasks in the Records Office relating to student records and provide information related to student enrollment processes. 


Please include unofficial copies of undergraduate and graduate transcripts. Will be required to submit official copies of transcripts before start date. 

This position may have occasional travel between campuses and for training. Occasional after hours may be required.

Essential Duties

  • Processes admissions applications for incoming new students, returning students, dual enrollment students, early college, and students from correctional institutions.
  • Process admissions correspondence.
  • Accept college and high school/GED transcripts.
  • Assess all types of transcripts for placement.
  • Process forms that come through the Registrar's office:
    • Program/Pathway Changes
    • Student Data Correction Changes
    • Tuition waiver forms
    • Enrollment verification requests
  • Communicate with our students via face-to-face interactions, e-mail, phone calls and virtual web-based conversations.
  • Process out-going transcripts on-demand.

Other duties specific to individual Records Assessment Specialists may include:

  • Assess completion of census or grade rosters as submitted by faculty. Communicate with instructors regarding missing information and coach as needed.
  • Reprint rosters as needed by faculty.
  • Process degree verification requests from the National Student Clearinghouse.
  • Complete purchase requests for forms, supplies and/or equipment.
  • Maintain electronic lists for students applying for graduation and their statuses.
  • Process e-transcript requests using Parchment for USPS or email delivery.
  • Communicate with alumni regarding transcript requests.
  • Intake residency reclassification documents and process status letters.
  • Download CFNC applications and transcripts.
  • Consolidate and error check records between the Customer Relationship Management software and the Student Information database.
  • Serve on College committees as assigned.
  • Complete the annual five-hour staff development.
  • Encourage and support College activities, policies, procedures, and philosophies.
  • Perform other duties as assigned.

Minimum Requirements

Required educational background:

  • Associate degree AND
  • One year of customer service experience, OR 
  • A combination of education and work experience will be considered.

Required knowledge, skills and abilities:

  • Microsoft Office; efficient entry of data; superb communication skills using a variety of means.


Preferred Requirements

  • Bachelor's Degree
  • Two years of customer service.
  • Expert level in MS Office programs.
  • Experience with academic advising and/or admissions.
  • One or more years working with a database.
  • One or more years working with the North Carolina Community College System.
  • Colleague Datatel experience
  • Bilingual (Spanish & English)
