The Advancement Strategies and Technology Innovation (ASTI) department is focused on finding the solutions for foundational issues that will best position UO Advancement to achieve its goals around engagement and fundraising. The department has a unique function in that it is based on UO Advancement, but also has strong working partnerships with The Office of Development as part of University Advancement has a mission to maximize philanthropic impact at the University of Oregon. We do this by identifying, connecting, and engaging alumni and friends around the globe with their passions to advance the vision and priorities of the university.

As part of ASTI, the Office of Prospect Management (PM) helps development officers fundraise for the UO to their highest capacity through the implementation, maintenance, and reporting on the Prospect Management System) that development staff uses to manage relationships with potential donors, optimize prospect portfolios, and strategically evaluate and measure fundraising progress.


Position Summary

Reporting to the Senior Associate Director of Prospect Management, the Prospect Management Analyst audits and tracks prospect records while maintaining data integrity throughout the pipeline. Using a comprehensive knowledge of the Prospect Management System, this position reviews and revises policies, procedures, and reports, and engages key stakeholders in discussions and system reviews. In addition, this position conducts analytics and produces reports on prospect management data that provide essential information to develop leadership and stakeholders about development activities and fundraiser performance.

With a customer service focus, the Prospect Management Analyst communicates, provides information, and strategizes with frontline fundraisers and their assistants on a regular basis. This position provides hands-on instruction for data input and information retrieval and plays an integral role in training fundraisers and Advancement staff on Prospect Management System policies.

The ideal candidate for this position will develop an in-depth knowledge of University Advancement’s donor database system that allows them to maintain data integrity by auditing their own work and that of colleagues. This position provides key services to constituents within the department and uses data visualization and analysis to provide information that informs department strategies and metrics. The Prospect Management Analyst should be able to work collaboratively, think independently, and work effectively with a variety of constituents and stakeholders. A PM Analyst that would thrive in this position is one who is detail-oriented, enjoys working with large datasets, and can find patterns and impacts within the data to formulate a story of information.

The position can be located in Eugene or Portland and is eligible for hybrid or remote work.


Minimum Requirements

• Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
• An equivalent combination of training and experience.

One year of postsecondary education may be substituted for up to one year of the experience.


Professional Competencies

• Ability to gain in-depth knowledge of a complex database system, including an understanding of how to use, support, modify and train others in the use of database systems.
• Proficiency in the use of Microsoft Excel and Word.
• Ability to exercise independent judgment, as well as operate as a productive team member.

• Effective communication skills, including a willingness to proactively reach out to constituents and colleagues in person, via phone, and email.

Preferred Qualifications

• Experience providing training on complex systems and/or internal policies and procedures.
• Experience with the Ellucian Advance development database.
• Experience with Tableau or other data visualization software.
• Experience working in higher education development.
• Experience in developing and maintaining policies and procedures.
