Job Description


The Global Security Initiative (GSI) produces mission-relevant approaches and decision support tools to address some of the world’s most vexing and complicated security challenges.

As Arizona State University’s hub for global security research, we leverage the world-class expertise of ASU faculty and GSI’s connections with the global defense, security, development, and diplomacy communities to take new approaches toward the world’s wicked problems.

The results are tools, technologies, and systems that are impactful, timely, and useful to policymakers and implementers.

GSI is seeking an enterprising Proposal Coordinator to support the submission of proposals for sponsored research on security issues to the U.S. Department of Defense and other potential funders. Under the direction of the GSI Pre-Award Senior Project Manager, you will have the opportunity to:


  • Support the drafting and submission of proposals for sponsored research

  • Coordinate with ASU administrative and financial units to ensure submissions are in compliance with funding announcements and sponsor requirements

  • Help define and assign proposal team member responsibilities

  • Facilitate communication among the team and ensure deadlines are met

  • Assist with other tasks as needed, including data tracking and evaluation

Essential Duties

  • Support core team as they collaborate with faculty and staff to coordinate proposal submissions, track progress, and communicate deadlines to team members
  • Research and maintain repository of key sponsors and funding opportunities
  • Capture team meeting notes and action items; ensure timely follow-up
  • Schedule meetings on behalf of core team with multiple stakeholders
  • Schedule information sessions and special events; track attendees
  • Manage team’s shared inbox and shared calendar
  • Update templated language to use in proposals
  • Maintain templates for proposal applications
  • Maintain core team’s supplies as needed
  • Maintain team tracking documents
  • Maintain team file repository
  • Attend core team meetings

Minimum Qualifications

Bachelor's degree and 2 years related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience supporting proposal submissions for U.S. government departments and agencies; knowledge of federal funding procedures
  • Experience with problem-solving and conflict resolution
  • Interest in learning new project/proposal management software
  • Experience tracking and parsing data to produce informative analytics
  • Demonstrated knowledge of project management techniques, including developing realistic timelines for project completion and communicating expectations to stakeholders
  • Experience in influencing without authority and proactively communicate with team members as necessary

Flexible work options

  • Alternative work schedules can include four, 10-hour workdays in a workweek; a nine-day, 80-hour schedule over two workweeks for exempt employees only; and staggered start and stop times.
  • Hybrid work is anarrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.

Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting, standing, walking. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, and lifting up to 20 pounds. Ability to clearly communicate to perform essential duties. Regular review of completed tasks.
