What you need to know:

  • This position has the flexibility of a hybrid remote option that can be discussed further during the interview process.

  • The salary range for position is $37K - $67K. Final salary will be determined based on the applicant's qualifications and experience.

Job Summary:

The Proposal Administrator I, under general supervision, distributes funding opportunities to the agency’s researchers daily, processes and tracks contract deliverables using agency software, and prepares and ensures that proposal packages are complete before being submitted to sponsors. Continued employment in this position is contingent upon availability of funding and satisfactory performance.

Essential Duties:

  • Search for and distribute funding opportunities. 2%

  • Processes and tracks deliverables. 10%

  • Provides support to researchers in the preparation and submission of proposals, which includes determining sponsor requirements and preparation of budgets/forms, according to appropriate guidelines. Prepares supplementary proposal documents with moderate supervision and ensures proposals are complete before being forwarded to the sponsor. 22%

  • Prepares proposal revisions and responds to requests related to proposal submissions.  10%

  • Communicates guidelines and proposal requirements to Principal Investigators. 10%

  • Coordinates with researchers, principal investigators, department/unit heads, deans, directors, staff, and customers to resolve proposal issues. Provides information as requested. 10%

  • Reviews proposals for compliance issues. 10%

  • Acquires basic knowledge on relevant matters regarding proposal preparation. 5%

  • Reviews program announcements, and with moderate direction, determines pertinent proposal requirements. 10%

  • Enters proposal information into required submission and financial systems. 5%

  • Negotiates contracts. 1%

  • Other duties as assigned. 5%

Required Education and Experience:

  • Bachelor’s degree or equivalent combination of education and experience (HS diploma + 4 YOE)

  • No prior experience required

Knowledge, Skills and Abilities:

  • Strong interpersonal and organizational skills and attention to detail.

  • Excellent verbal and written communication.

  • Knowledge of word processing, spreadsheet, and database applications.

  • Ability to work productively as part of a team and carry out tasks independently.

  • Ability to multi-task, meet hard deadlines, and resolve problems.

Preferred Qualifications:

  • 1-2 years’ experience reviewing program announcements/request for proposals to determine pertinent proposal requirements

  • 1-2 years’ experience of preparing and reviewing proposals according to guidelines

  • 1-2 years’ experience of preparing and reviewing budgets/forms according to guidelines

  • 1-2 years’ experience of reviewing proposals for compliance issues
